We make Nautis, one of the options below, so weigh our advice with that in mind. We've read each vendor's site, tested none of them, and used only what they publish as of 31 October 2026.
Zoho One covers an enormous amount for one subscription. Most companies thinking about leaving have noticed one of two things: they use a small part of it, or a rule in its licensing has started to bite. Those lead to quite different answers, so work out which applies to you before reading the list. Nautis sits fifth among six here, and for most Zoho customers it won't be the right swap.
Why people look past Zoho One
We can only speak to reasons visible on Zoho's own pages. We can't tell you how common any of them is, and we haven't surveyed its customers.
- The all-employee rule. The all-employee model requires licenses for everyone on your payroll, per Zoho's footnote. A company with many part-time or field staff who rarely open software pays for them anyway.
- The flexible price. Buying for only some staff is possible. The price file behind Zoho's pricing page lists US$90 a user a month with annual licensing as of October 2026, so 20 users would come to $1,800 a month. US visitors may see a $67 offer on that annual rate, with $90 struck through.
- Annual licensing. The FAQ describes each model with annual licensing. The page also has a Monthly/Yearly toggle, and monthly billing costs more: $105 against $90 on flexible pricing, and $45 against $37 on all-employee.
- Edition changes apply to everyone. Zoho's FAQ says that moving from Standard to Essentials means downgrading all users in the organization.
- Scope you don't use. Its homepage counts 45+ apps and the pricing page says 50+ for Standard. A team using CRM, mail and a few others is paying for a very wide bundle, though Essentials with 15+ apps may close that gap.
The all-employee price is US$37 an employee a month billed annually, or $45 monthly, in the price file behind Zoho's pricing page as of October 2026. Essentials is $9 a user billed annually or $11 monthly. Prices vary by country, so check the rate shown to you and do the sum with your own headcount.
The six options at a glance
Each option replaces only part of Zoho One. No product here matches its full catalogue, so the middle column matters most. All prices are as published in October 2026.
| Option | What it replaces | How it charges | Published entry price | Gives up compared with Zoho One |
|---|---|---|---|---|
| Bitrix24 | CRM, tasks, chat, basic HR | Per organization | $49 billed annually or $69 monthly for 5 users | No accounting or payroll named on the pages we read |
| HubSpot | CRM, marketing, service | Per seat | $7 or $10 a seat for Starter, limited-time rate | Payroll and HR apps |
| Odoo | Most of the suite, plus stock and manufacturing | Per user | Rs 580 a user billed yearly, in the regional view we saw | One vendor doing all the setup, as larger rollouts use partners |
| Rippling | HR, payroll, IT, spend | Per employee by module | From $8 an employee, plus a base fee | Sales, marketing and service apps |
| Nautis (ours) | Startup operations, fundraising, runway, invoices, leads | Per workspace | $49 a month for 5 members | Accounting, statutory payroll, helpdesk, much of the depth |
| ClickUp | Projects, docs, chat | Per user | $9 a user billed yearly | CRM, finance and HR apps |
Which Zoho One alternatives fit which job?
The question to ask is which Zoho apps your team opened last week. Pull that list first, then read only the options that match.
Bitrix24: if you want a flat bill
This is the most direct contrast on pricing. Bitrix24 charges per organization, not per person: Basic is $49 billed annually for 5 users, Standard is $99 for 50 users and Professional is $199 for 100, with monthly billing at $69, $144 and $289. Its homepage lists collaboration, CRM, tasks and projects, sites and stores, and HR and automation, along with CoPilot AI. A 20-person company using CRM, tasks and chat could pay less than one-tenth of the flexible Zoho figure. The catch is that its five listed areas stop short of full accounting and payroll, so a company relying on Zoho Books or Payroll would need to replace those separately.
HubSpot: if Zoho CRM is the app that matters
If sales and marketing are what your team spends time on, HubSpot is a more focused choice. Marketing, Sales, Service, Content, Data and Revenue hubs sit on one CRM, and its free CRM allows two users and 1,000 contacts. Starter is shown at $7 a seat with an annual payment or $10 month-to-month as a new-customer discount from a normal $20, including 500 credits. Check what you'd pay later, as the page we read didn't show Professional prices. Choose this when your go-to-market motion is the business. You'd give up HR and finance apps and need separate tools for them.
Odoo: if you run stock or manufacturing
Of everything here, Odoo comes closest to Zoho's breadth, with accounting, CRM, inventory, manufacturing, HR, payroll, helpdesk and websites in a modular suite, and an open-source Community edition you can host yourself. Inventory-heavy companies will find more there. One app is available at no cost with unlimited users, and the view we read showed Standard at Rs 580 a user a month billed yearly, with currency varying by location. The trade-off is a bigger implementation, and pricing moves up when you add a second app or need multi-company and API access. If you'd like the reverse question, see Odoo alternatives.
Rippling: if HR and payroll are the reason you bought it
Rippling is a modular platform for HRIS, benefits, payroll, global payroll, device and identity management, and expense and corporate cards. It starts at $8 per employee a month with a base fee as of October 2026, and most pricing needs a quote, so you can't complete the sum from the website. It gives eligible US venture-backed startups 6 months free. Pick it if your company is hiring in several countries or managing many laptops. Its pricing page lists no sales tools, so a team using Zoho CRM would keep a CRM alongside it.
Nautis: if you're a startup raising money
Nautis takes a narrower bet: a startup's founders want fundraising, runway, tasks, leads, invoices and meetings in one workspace, with an AI Chief of Staff preparing the follow-up and asking before it acts. Launch is $49 a month for 5 members, Voyage $99 for 10 and Fleet $129 for 25 as of October 2026, with a 14-day trial and no $0 option. It doesn't replace Zoho Books or Payroll, as it isn't an accounting system or a payroll provider, and it has nothing like Zoho's helpdesk depth. It launched in July 2026, so few independent reviews exist. For an established company with departments, Zoho or Odoo will fit far better. See Nautis for bootstrapped startups if budget is your main concern.
ClickUp: if you mostly use Zoho Projects
Some suite buyers mainly need work tracking. ClickUp offers projects, docs, chat, sprints, dashboards and AI agents, at $9 a user a month for Core or $17 for Business billed yearly as of October 2026. Its $0 option has unlimited tasks but only 60 MB of storage. It suits product and delivery teams who want depth in one area. The pages we read don't name CRM, finance or HR, so this replaces one part of the bundle and leaves you shopping for the rest. Our ClickUp alternatives page explores that category further.
When staying on Zoho One is the better call
Stay if your team actually uses apps across several departments. Replacing CRM, mail, books, HR and helpdesk with separate products means more bills, more logins and more integrations to keep working. That's a real cost even if each piece looks cheaper.
- You've got everyone on the all-employee model and most of them log in. The licensing rule isn't hurting you.
- Finance and payroll run there and they work. Moving accounting mid-year is rarely worth doing for a saving on software.
- Your actual complaint is too many unused apps. Compare Essentials before you plan a migration, and remember that its FAQ makes that change organization-wide.
- You simply haven't set it up well. Zoho offers a Jumpstart service as well as free support and training during its 30-day trial. A cleanup is cheaper than a move.
A migration also has a cost in lost attention. If your team is mid-fundraise or mid-launch, this is rarely the right quarter for it.
Run this sum before you switch
Take a 20-person company paying for 12 active users. Here's how the published figures compare, using annual billing where a vendor offers it. Treat this as how charging works, not as a like-for-like comparison, since these products do different work.
| Option | Calculation | Monthly software cost | What you still need |
|---|---|---|---|
| Zoho One, flexible | 12 x US$90 | $1,080 | Nothing extra for most functions |
| Zoho One, all-employee | 20 x US$37 | $740, billed annually | Nothing extra for most functions |
| Bitrix24 Standard | Flat, up to 50 users | $99 | Accounting and payroll |
| HubSpot Starter | 12 x $7 | $84, limited-time rate | HR, accounting, project tool |
| ClickUp Business | 12 x $17 | $204 | CRM, accounting, HR |
| Nautis Fleet | Flat, up to 25 members | $107.50 paid yearly, or $129 monthly | Accounting, a payroll provider, helpdesk |
The right column is the part most people forget. Add an accounting product, a payroll product and integration work to each row, and the gap often narrows. Our tool tax calculator helps you total your own stack, and the consolidation playbook covers the reverse move.
FAQ
What are the main Zoho One alternatives?
It depends on which part you use. Bitrix24 and Odoo are the broad options, HubSpot covers sales and marketing, Rippling covers HR and payroll, ClickUp covers projects, and Nautis is for founder-run startups. None of them matches Zoho One's whole catalogue, so most switches mean using more than one product.
Do you have to buy Zoho One for every employee?
On the all-employee model, yes. Zoho's page says you commit to licenses for all employees on payroll. It also offers flexible user pricing for any number of users, listed at US$90 a user a month with annual licensing as of October 2026, against US$37 an employee on the all-employee model.
Is there a cheaper alternative to Zoho One?
Yes, if you don't need everything it includes. Bitrix24 starts at $49 a month billed annually for 5 users and charges per organization, and ClickUp starts at $9 a user billed yearly. They cover less, so add the cost of anything you'd need to replace.
Is Nautis a replacement for Zoho One?
Only for some startups. It covers fundraising, runway, tasks, leads, invoices and team operations with an AI Chief of Staff, but it has no accounting, payroll or helpdesk suite to match Zoho's. A company relying on those should stay or choose Odoo.
Disclosure: We make Nautis, one of the six options here, so we have a stake in this page. It's based on what Zoho and the other vendors published on 31 October 2026, and we ran no hands-on test or scoring. Spotted something out of date? Tell us and we will correct it.
