Nautis vs Notion: build your company system, or start with one

Notion lets you build your startup's system from blank pages. Nautis ships the modules ready-made. Compare docs, AI, cost and when to keep both.

Summarise

Notion's pricing page opens with "One tool to run your company", and plenty of founders take that literally. They build an investor tracker, a hiring board, a metrics page and a company wiki from databases and templates. It often works very well for the first year, and it costs little.

Nautis takes the opposite approach. The modules already exist, so you fill them in instead of designing them. That gives you less freedom and much less setup. This page looks at where that trade pays off, and where Notion remains the better tool by a distance.

Is Nautis a Notion replacement?

For operating records, yes. For documents and knowledge, mostly not. If your Notion workspace is 400 pages of product specs, onboarding docs and meeting notes, Nautis Notes won't serve you as well. If it's six databases you built to imitate a CRM and a runway tracker, you are the person this comparison is for.

Before reading further, open your workspace and count pages against databases. That count tells you more than any feature list will.

What building your own system in Notion involves

Notion's databases support subtasks, dependencies and custom properties, along with calendar, board and timeline views. Its Projects page offers sprints and tasks. These are strong parts, and a skilled operator can assemble a lot from them. Here is the work behind a typical founder's setup.

One job, two routes. Notion column describes what you would build, Nautis column what already exists

The Notion route has two hidden costs. One is the build, usually done by a founder at weekends. The other is drift: property names change, somebody duplicates the tracker, and three months later nobody trusts the numbers. If you have an operator who enjoys that upkeep, the cost is small and you get a system shaped exactly to your company. Without one, it lands on you.

Where Notion is simply better

  • Writing and wikis. This is its home ground. In Nautis Notes, teammates with shared access can each save changes, and the most recent save wins, so big edits need coordinating. Treat that as a real limit if several people write together.
  • Flexibility. You can model almost anything in a database. Nautis modules have fixed shapes, and you adapt to them.
  • Publishing. Notion offers forms and public sites, with custom sites on Plus and custom domains as a paid extra.
  • A way in for nothing. Its $0 plan suits an individual, and guests are free for individual pages. Nautis has a 14-day trial and then a paid plan.
  • Scale. Notion runs from individuals to Enterprise with SAML SSO on Business and SCIM on Enterprise. The largest Nautis plan for startups holds 25 team members.
  • Track record. Nautis launched publicly in July 2026, and few independent reviews exist.

AI: an agent in your docs, or a chief of staff over your records

Notion's AI is capable and improving, and it reaches well beyond writing help. Notion Agent, on Business and up, handles multi-step tasks using your workspace, connected apps and the web. Custom Agents run on a trigger or schedule, with examples like answering questions on Slack and routing tasks. AI Meeting Notes and Enterprise Search (Beta) are also on Business. On Free and Plus, Notion AI appears only as a limited trial.

The output depends on what's in the workspace. An agent can only reason about runway if your runway is written down somewhere, in a shape it can use. Nautis has that advantage for the records it holds: the Chief of Staff knows an overdue invoice is an invoice and that runway comes from your last Startup Health check-in. It also offers Do it actions on items like sending a reminder.

On control, Nautis defaults to Ask every time, with a card showing the exact text and recipients, and an audit log. Notion's AI page says nothing either way about confirmation before changes, and we couldn't confirm how it behaves from the pages we read. Test this yourself if your agents will touch customers.

Both meter usage. Notion lists 500 Select credits per member a month on Business on its AI page, and Custom Agents cost $10 per 1,000 Notion credits after a tryout. Nautis gives 1,000 to 2,600 credits per plan, shared across the whole team.

What will it cost a team of 3, 10 and 25?

Notion charges per member and Nautis per plan. These are list prices as of October 2026. Notion's figures are shown with yearly billing, which saves up to 20%, and its startup page confirms Business at $20 billed annually. We couldn't read the pay-monthly figures from its page.

Monthly cost if every person is a paid member
TeamNotion Plus ($10)Notion Business ($20)Nautis
3$30$60$49 (Launch)
10$100$200$99 (Voyage)
25$250$500$129 (Fleet)

One offer changes this for new customers. Notion for Startups gives up to 6 months free on Business with AI included if you are partner-affiliated, 3 months for other eligible startups under 100 employees, and 1 month in some other cases. You can't already be paying for Notion. If you qualify, try it: a free half-year is a good way to learn what you need. Just budget for month seven, when ten people cost $200 a month.

Plan limits matter in Nautis as well. Launch excludes the cap table and evening debrief, and limits investor deals and the leads pipeline, so a fundraising team will likely want Voyage. Check the pricing page before you commit.

Keeping Notion and adding Nautis

For many startups this is the sensible end state: Notion for knowledge, Nautis for operating records. Notion is one of the featured apps in the Nautis integrations catalog, and agents can read a Notion page once an owner or admin enables that. Writes ask first by default.

Know the limit before you plan around it. Nautis doesn't sync or mirror data from connected tools. Agents call actions on demand, so your Notion databases won't appear inside the briefing as if they were Nautis records. If you rely on the briefing to watch your pipeline, the pipeline has to live in Nautis.

Draw the line clearly. A simple rule is: if a thing has a stage, an amount or a due date, it goes in Nautis. If it's something people read, it stays in Notion. The tool consolidation playbook goes through the order of moving things.

Who should choose what

  • Stay on Notion if you have an operator who maintains your system, your company is documentation-heavy, or you are pre-revenue and watching every dollar.
  • Choose Nautis if your tracker databases keep going stale, you are raising or will soon, and you want a ranked morning list instead of a dashboard you need to keep up to date yourself.
  • Use both if you already have a good wiki. Don't migrate it for the sake of tidiness.
  • Choose neither for EOS. Nautis has no EOS or OKR tooling, and you would have to build it yourself in Notion. A company committed to EOS should pick an EOS tool such as Ninety. EOS® is a trademark of EOS Worldwide.

If you have decided to leave Notion but aren't sure for what, these Notion alternatives cover wikis and project tools as well as operating systems.

FAQ

What's the difference in Nautis vs Notion?

Notion is a flexible workspace of pages and databases that you shape yourself, with AI on top. Nautis ships ready-made startup modules such as a fundraising CRM, runway tracking and invoices, plus an AI Chief of Staff. Notion is stronger for docs, and Nautis needs less building for operating records.

Can Notion be used as a CRM or investor tracker?

Yes, by building databases with stages, owners and linked notes, and many founders do. The cost is setup and upkeep, since you maintain the structure yourself. A dedicated module saves that work but gives you less room to change it.

Does Notion have a startup discount?

Yes. As of October 2026 Notion for Startups offers up to 6 months free on Business with AI included. The length depends on partner affiliation and eligibility, and you need fewer than 100 employees and no existing paid Notion account.

Does Nautis work with Notion?

Yes, through the integrations catalog. An owner or admin connects Notion and then separately enables it for agents, which can then read pages and propose writes for approval. Nothing is synced, so Notion content isn't copied into Nautis.

Does Nautis have real-time document editing like Notion?

Not in the same way. Its help center says teammates with shared access can each save a note and the most recent save wins, so people should coordinate on big edits. If collaborative writing is central to your team, keep a dedicated docs tool.
