Custom AI Advisors
What it does
Lets you build your own AI advisors next to the built-in ones on your AI Advisory Board. You give each one a role, instructions, a tone, the modules it may work in (and what it may do there), and its own knowledge: documents you upload and data rooms you link. Each custom advisor also keeps its own memory of what it learns in your chats.
Every advisor on the board, built-in or custom, can also consult the others. When a question is outside its area, an advisor says so, asks the advisor who knows, and brings the answer back.
Who can use it
- Only workspace Owners and Admins can create, edit or delete custom advisors, or customize the built-in ones.
- Who can chat with a custom advisor is up to you: everyone in chosen roles, or only you (see Access below).
- Your plan decides whether you can create custom advisors and how many. When custom advisors aren't in your plan, or you reach the limit, the Create advisor card is greyed out.
- Customizing built-in advisors is also part of your plan. Without it, Edit advisor shows Upgrade. Changes you made earlier keep working, and you can still reset them.
- Chatting with any advisor, and every consultation between advisors, uses AI credits.
Where to find it
In the sidebar, open your Company section and click AI Advisory Board. The Create advisor card sits at the end of the advisor grid.
Create an advisor
- Click Create advisor.
- On the Profile tab, fill in Name, Role (for example, "GST & Compliance Advisor") and a Short description. The description is what people see on the advisor's card. Pick an Icon, and optionally add up to four Suggested prompts: starter questions shown when someone opens a chat.
- On the Instructions tab:
- What should this advisor do? Describe its job in plain words: what it helps with, what it should check, how it should answer. This is the most important field.
- Expertise & company context: background it should always know, such as your market, policies or the frameworks you follow.
- Tone: Balanced, Direct, Warm & supportive, Analytical or Concise.
- Never do: hard rules. For example, "never give final legal advice" or "never share salary data".
- On the Access tab, choose who can use it and what it may do (see the next section).
- Click Create advisor. The dialog stays open on the Knowledge tab so you can add documents straight away.
Set access and permissions
The Access tab works like Roles & Permissions.
- Under Who can use it, pick Workspace (team members in the roles you choose) or Only me (private to you).
- For a workspace advisor, tick the Roles that can use it. Super-admin roles always have access. This is the same switch as the AI Agents list on each role in Roles & Permissions, where custom advisors also appear.
- In Module permissions, tick what the advisor may do in each module: View, Create, Edit or Delete. Use the All box on a row to give full access to that module, or the box under a column heading to apply it to every module.
- Giving Create, Edit or Delete automatically gives View. An advisor can't change what it can't see.
- Modules you leave unticked are closed to the advisor. If someone asks it to work there, it says it isn't allowed.
- An advisor can never do more than the person chatting with it. If your role can't edit invoices, no advisor can edit them for you.
Give it knowledge
- Open the Knowledge tab (right after creating, or later via Edit advisor).
- Click Upload files and choose documents: PDF, Word (.docx), Excel, CSV, text, Markdown or JSON, up to 15 MB each.
- Each file shows Indexing… while Nautis prepares it, then Ready. Only this advisor learns from these files.
- Under Data rooms, tick any rooms it should treat as its knowledge. Linked rooms are searched first and are open to this advisor. People still only see files they have access to.
- To remove a file, click the bin icon next to it.
When you chat with the advisor, it looks in its own files and linked rooms first and names the documents it used.
Edit or delete an advisor
- On the AI Advisory Board, hover over the custom advisor's card and click the ⋯ button in its top-right corner.
- Click Edit advisor to change anything, then Save changes.
- Or click Delete and confirm. The advisor disappears for everyone and its knowledge files are removed. Past conversations with it stay in your history.
Customize a built-in advisor
You can tailor any built-in advisor (Anchor, Helm, Gale and the rest) with the same editor you use for custom advisors. Your changes apply only to your workspace. Other workspaces keep the defaults.
- On the AI Advisory Board, hover over the advisor's card and click the ⋯ button in its top-right corner.
- Click Edit advisor.
- Profile: change the Name (for example, "Anchor" → "Priya"), Role, Short description, Icon or Suggested prompts. The new name shows everywhere in your workspace: chats, board rooms, voice, consultations and exported chats. The advisor introduces itself by it too.
- Instructions: click Built-in instructions to read what the advisor already does. Anything you write under Additional instructions, Expertise & company context, Tone and Never do is added on top, and wins where the two conflict. The built-in instructions keep improving as Nautis updates them.
- Access: choose the Roles that can use it, and limit what it may do in each module, the same way as for a custom advisor. You can also connect it to modules it doesn't use by default.
- Knowledge: upload files or link data rooms. Only this advisor uses them, and only in your workspace.
- Click Save changes. Customized advisors show a Customized label on their card.
To undo everything, open Edit advisor again, click Reset to default and confirm. This restores the name, role, description, icon, prompts, instructions and module access, and deletes the advisor's knowledge files. Who can use it stays as you set it.
To customize your Chief of Staff, open Chief of Staff, go to Settings → Agent Autonomy and click Customize on the card at the top.
Each advisor needs its own name. You can't give two advisors the same name, and names can't contain @, < or >.
Have advisors consult each other
Your advisory board works as a team. Every advisor knows who else is on the board and what each one covers, built-in and custom.
- Ask any advisor your question as usual.
- If the question (or part of it) belongs to another advisor's specialty, the advisor says so first. For example: "That's outside my area — let me ask Keel, our Startup Legal Advisor."
- The other advisor's answer appears in the chat as its own card, with its name and role, marked Consulted. Click Show full answer to expand a long one.
- The advisor you're talking to then gives you one combined reply that credits each advisor by name.
You can also ask directly: "Ask Keel whether this SAFE clause is standard", or "Get Anchor and Keel's view on this term sheet". A question that spans several areas can go to up to three advisors at once. If a consulted advisor says someone else would know better, your advisor asks that one next.
Want several advisors talking together in one place? Start a board room. See "Run a board room" in AI Co-Pilot. Custom advisors can join board rooms too.
Consultations also work in voice (Talk). The advisor tells you who it's checking with, then answers. A consulted advisor only gives advice. It can't take actions or create anything during a consultation, and it only uses data you're allowed to see.
Tips & limits
- Write instructions the way you'd brief a new hire: what good looks like, what to check, and when to escalate to a human.
- Start with View only and add Create or Edit once you trust the advisor's output. Changes an advisor proposes still go through the usual approval cards.
- An advisor can hold up to 50 knowledge files. Scanned PDFs without selectable text can't be read. Upload a text-based version instead.
- Each advisor's memory is separate. What it learns in your chats is recalled the next time you talk to that advisor.
- Every consultation is an extra AI call, so it uses extra credits.
Frequently asked questions
Who can see a private advisor?
Only the person who created it. It doesn't appear for anyone else, and other advisors can't consult it on someone else's behalf.
Can a custom advisor see data I can't?
No. Every read and action is limited by both the advisor's module permissions and your own role permissions. Data-room files are only used if you can open them yourself.
What happens to files after I delete an advisor?
Its knowledge files are deleted and removed from search. Files in linked data rooms are not touched. They stay in their rooms.
Do advisors read files I attach in a chat?
Yes. Attach a file with the paperclip in any advisor chat. The advisor can read the whole document, even long ones, and you can ask about it in later messages too.
Can I replace a built-in advisor's instructions completely?
No. Your instructions are added on top of the built-in ones, so the advisor keeps improving as Nautis updates it. Where your instructions conflict with the built-in ones, yours win. If you need a completely different advisor, create a custom one.
What happens to my old chats when I rename an advisor?
They stay in your history. Your conversation list and chats show the new name, but replies already given in a board room keep the name the advisor had then. In a board room, mentioning it by its old name (for example @Anchor) still works.
Why is the Create advisor card missing?
Only Owners and Admins see it. If you're an Owner or Admin and it's greyed out, your plan's custom advisor limit has been reached. Delete an advisor or upgrade your plan.
