Outcome Workflows

What it does

Declare a goal — "Raise $500k by December" — and Nautis's AI decomposes it into an ordered, cross-module execution plan you review, approve, and run. As the workflow runs, Nautis turns the steps into real work: a Task Board with tasks, document requests, metric targets, and agent actions. Steps that touch the outside world always pause for your approval first.

Who can use it

  • Anyone in your organization with read permission for the Outcome Workflows module can view outcomes.
  • Create permission is needed to declare a new outcome; update permission to generate plans, edit them, start, approve steps, or abandon a workflow.
  • Your plan caps how many outcomes you can create per calendar month (default 20).
  • AI plan generation uses AI credits and requires the AI planning feature to be enabled for your organization.

From the sidebar, open Strategy & Planning and click Outcome Workflows.

Step by step

Declare an outcome

  1. Click New outcome.
  2. In the Declare an outcome dialog, fill in:
    • Template — optional starting point: Raise a funding round or Custom goal (the default).
    • Goal (required) — for example, "Raise $500k by December".
    • Details — optional context that should shape the plan.
    • Target — an optional number (for example, 500000).
    • Unit — for example, USD.
    • Deadline — optional date.
  3. Click Create outcome. The outcome is created as a Draft — nothing is planned or executed yet.

Generate and review the plan

  1. Open the draft outcome and click Generate plan. Nautis's AI reads your goal (and your workspace context) and proposes an ordered plan, usually 5–9 steps. This uses AI credits.
  2. The Proposed plan appears as a numbered timeline. Each step shows its type and whether it will pause for you:
    • Task Board — creates the execution board (usually step 1).
    • Task — adds a task to the board.
    • Document — flags a required document as a task.
    • Metric — sets a target metric from your outcome's target and deadline.
    • Agent — queues an AI agent action (drafting work). Anything that would send something externally is marked Needs approval.
    • Notify — notifies an owner inside Nautis.
    • Checkpoint — a human review point that always pauses the workflow.
  3. Not happy with the plan? Click Re-plan to generate a fresh one, or edit it yourself (next section).
Step by step

Edit the plan

You can edit the plan any time before the workflow starts.

  1. Click Edit plan.
  2. For each step you can change the Step title, Description, step type, the approval setting — Runs automatically or Needs my approval — and an optional Success metric.
  3. Reorder steps with the up/down arrows, remove steps with the trash icon, or click Add step to insert one.
  4. Click Save plan. At least one titled step is required.

Once a workflow is running, the plan is locked — you can't edit it mid-run.

Start and run the workflow

  1. When the plan looks right, click Approve & start.
  2. Nautis executes steps in order. Automatic steps run on their own; the detail view shows each step's status: Pending, Running, Awaiting approval, Done, Skipped, or Failed.
  3. When a step needs you, the outcome pauses with an amber banner — "n step(s) need your approval before the workflow can continue." On each waiting step, click:
    • Approve (or Mark reviewed & continue on a checkpoint) to let the workflow proceed.
    • Skip to pass over that step and continue.
  4. Approval requests also appear in the Approval Center (Chief of Staff → Approvals tab), so you can action them from there instead.
  5. When every step is done or skipped, the outcome is marked Completed.

The work itself lives on the outcome's Task Board — use the Task Board button in the header or the View on Task Board links on completed steps.

Find your way around the list

The page is a three-pane view: filters on the left, the outcome list in the middle, and the selected outcome's plan on the right.

  • Filters: All outcomes, Needs approval, In progress, Plan ready, Drafts, Completed, Archived — each with a live count.
  • Stat chips at the bottom of the sidebar show Active, Review, and Done counts.
  • Each outcome card shows its status, a "n to approve" badge when steps are waiting, a deadline hint, and a progress bar with "done/total steps".

Abandon or delete an outcome

  • Abandon (running or paused workflows): stops further steps from generating. Confirm in the Abandon this workflow? dialog — work already created (the Task Board and its tasks) is kept.
  • Delete (only before a workflow starts): permanently removes the outcome and its plan. Any Task Boards already created are not deleted.

Tips & limits

  • A completed step means its work has been set up on your Task Board — not that the goal is achieved. Track and finish the actual work on the Task Board.
  • Only plan generation (and agent drafting steps) consume AI credits — creating outcomes, running steps, and approvals are free.
  • Monthly creation limit: 20 outcomes by default (your plan may differ). Hitting it shows "Monthly outcome workflow limit reached."
  • If AI credits run out while generating a plan, the outcome safely returns to Draft — top up and try again. If credits run out during an agent drafting step mid-run, that step is skipped and the workflow keeps going.
  • Statuses at a glance: Draft → Plan ready → Running → Awaiting approval (paused on you) → Completed, with Abandoned/Failed in Archived.

Frequently asked questions

What actually happens when the workflow runs? Does the AI do the work for me?

It sets the work up. Steps create a Task Board, tasks, document-request tasks, and metric targets; agent steps can draft content. Executing the underlying work — closing the round, writing the doc — is still yours, tracked on the Task Board.

Will it send anything without asking me?

No. Any step that reaches outside your workspace is approval-gated — the workflow pauses until you click Approve. Checkpoints always pause for review as well.

What happens if a step fails?

The step is marked Failed with the error shown under it, but the workflow keeps going — remaining steps still run. Failed steps don't count toward progress.

Can I change the plan while it's running?

No. Plans lock at start. If a running workflow no longer fits, click Abandon (created work is kept) and declare a fresh outcome, or approve/skip your way through the remaining steps.

Where do I approve waiting steps?

Either inline on the outcome's detail page (Approve / Skip buttons on the waiting step) or from the Approval Center in Chief of Staff (Approvals tab). They're the same requests.

What's the difference between Abandon and Delete?

Abandon stops a live workflow but keeps everything it created. Delete removes a not-yet-started outcome and its plan entirely (created Task Boards still survive).

Why can't I click "Approve & start"?

The plan needs at least one step. Generate a plan (or add steps via Edit plan) first.
