What it does

Keeps a private people directory for your startup. Add team members, store their work and bank details, set compensation, run payroll, manage leave, and pay people out — all from one place.

Who can use it

  • Founders and anyone with HR Management permissions in their organization.
  • Read-only members can browse the team list and reports but cannot add, edit, or pay employees.
  • Each Nautis plan caps how many employees you can keep on the books — see Tips & limits.

Where to find it

From the sidebar, open Human Resources and click Employee Management.

Step by step

Add an employee

  1. On the Employees tab, click Add employee in the top-right.
  2. A side panel opens with collapsible sections. The first one, Basic information, is already expanded.
  3. Fill in the required fields (each is marked with a red asterisk):
    • Name
    • Official Email Address
    • Phone
    • Employee ID — your own internal code, e.g. EMP-002.
    • Department — pick from the dropdown or choose Other / Custom to type a new one.
    • Designation — job title, e.g. Product Manager.
    • Joining date — pick from the calendar.
  4. Optionally set Employment type (Full time, Part-time, Contractor, Intern), Reporting manager, Exit date, and Work type (Onsite, Remote, Hybrid).
  5. Expand Personal information to add personal email (required), gender, DOB, blood group, etc.
  6. Expand Contact information for home address and country.
  7. Expand Emergency contact for next-of-kin details.
  8. Expand Bank account details and fill in the required fields: Bank name, Account holder name, Bank code (Routing / SWIFT / Sort code / IFSC), Account number, and Account type.
  9. Watch the Completion strip at the bottom of the panel. It shows how many required fields are done and lists the missing ones — click any chip to jump straight to that field.
  10. Click Save & open profile. The employee appears in the list and their profile opens automatically.

Edit an employee record

  1. On the Employees tab, find the person you want to update.
  2. Click the pencil icon on their row, or open their profile and click Edit.
  3. The same side panel opens, pre-filled with the existing details.
  4. Make your changes in any section, then click Save.

To view a fuller profile without editing, click the eye icon — you'll see info, documents, salary slips, compensation history, and offboarding details.

Set or revise compensation

  1. Open an employee profile (click their row, then the eye icon).
  2. Switch to the Compensation section.
  3. Click Add revision (or Edit on an existing one).
  4. Pick a Revision type — typically new for the first one, then revision or promotion later.
  5. Enter the Annual CTC (cost to company). Adjust Basic % and HRA % if your plan uses those splits.
  6. Add Allowances and Deductions by clicking Add under each list. Pick the type and amount. Mandatory items (defined in Settings) are pre-filled.
  7. Click Save. The revision is logged with the date so you have a clean history of every change.

Run a payroll cycle

  1. Click Payroll in the tabs (or Run payroll from the Employees tab).
  2. The payroll dialog opens for your current pay frequency (Monthly by default).
  3. Choose the month and review which employees are included.
  4. Click Continue to draft the run, then move into a payout.

Create a payout run

  1. Open the Payouts tab.
  2. Click Create payout in the top-left (you can also use the Create payout button in the header).
  3. A side panel opens. Pick the Month, Year, Country, and confirm the Currency and Pay frequency.
  4. Select the employees to include. Their net pay is calculated from each person's latest compensation revision plus allowances and deductions.
  5. Add any one-off adjustments per employee if needed.
  6. Click Save to draft the run.
  7. Back in the list, click Process on the row to mark it as paid. You can also View the run to see line-by-line disbursements, or Edit while it's still a draft.

Track benefits, allowances and deductions

  1. Open the Settings tab.
  2. In the left list, use:
    • Salary allowances to add reusable allowance types (e.g. internet, transport).
    • Salary deductions for taxes and statutory deductions.
    • Employer contributions for benefits the company pays.
    • Leave types to define paid time off, sick leave, etc.
  3. For each, click Add to create a new entry. Mark items as mandatory if every new employee should get them by default.
  4. Once defined, these flow into the compensation form and payouts automatically.

To grant or approve time off, open the Leave tab and either record a request directly or approve one your team has filed.

Tips & limits

  • Your plan has a lifetime Employee Limit — the total number of employee records you can keep, including exited ones. You can see it under Account Settings > App Usage. If you hit the cap, archive or delete older records, or upgrade your plan.
  • The first time you open HR Management, head to Settings > HRM Config to set your Default currency and Pay frequency — every payroll run inherits these.
  • Click on a missing-field chip at the bottom of the Add employee panel to jump straight to that field instead of scrolling.
  • Compensation revisions are versioned. Old amounts stay readable so you have a clean audit trail.
  • Updates from one teammate appear in real time on everyone else's screen — no need to refresh.

Frequently asked questions

Can I import employees in bulk?

Not yet. Add them one at a time using Add employee. Their basic profile takes about a minute each.

Can a member of my team see everyone's salary?

Only users with HR Management read permission can open the Payroll and Payouts tabs and view compensation. Adjust roles under Account Settings > Members & Roles.

An employee left. Should I delete them?

Set their Exit date instead so payroll and reports stay accurate. Deleting removes the record entirely, but exited employees still count toward your employee limit.

Why is the "Save & open profile" button disabled?

You're missing one or more required fields. Look at the Completion strip at the bottom of the panel — it lists exactly what's still empty.

Can I record one-off bonuses?

Yes — when creating a payout, add an adjustment for that employee instead of changing their permanent compensation.

Do I need to enter bank details for contractors?

The system asks for them so payouts have complete records, but you can still save the employee and add bank info later by editing.
