Task Boards

What it does

Nautis Task Boards lets you organize work into themed boards — for example, "Q1 Launch" or "Hiring Plan" — and run the tasks inside each board through to completion. Every board has its own tasks, progress bar, due dates, assignees, discussion thread, and attachments.

Who can use it

  • Any teammate whose role has the Task Boards permission enabled.
  • The Task Boards module must be turned on for your organization.
  • Only people with access to a board can view or edit it. Org admins always have access.

Where to find it

From the sidebar, open Strategy & Planning and click Task Boards.

Step by step

Create a new task board

  1. On the Task Boards page, click New Board in the top-right.
  2. Choose your starting point:
    • Start from scratch — a blank board you'll fill in yourself.
    • Or pick one of the built-in templates (each shows how many outcome tasks and KPI tasks it includes).
  3. Fill in the details:
    • Title (required) — for example, "Q1 Product Launch".
    • Description — what the board is about.
    • Priority (required) — Low, Medium, High, or Urgent.
    • Category (required) — pick the area this board belongs to.
    • Due Date — optional finish date for the whole board.
    • Shared Access — pick the teammates who should be able to open and edit this board.
  4. Click to create.

If you picked a template, Nautis creates the board and pre-fills it with the template's tasks so you can hit the ground running.

Step by step

Filter and find boards

The Task Boards page has a left sidebar with filters and a sort menu.

  • Search — type in the search box to filter boards by title.
  • Status — All Status, Pending, In Progress, Completed, Cancelled.
  • Priority — All Priority, Low, Medium, High, Urgent.
  • Category — pick a category to focus on.
  • Sort By — Created, Updated, Due Date, Priority, Progress or Title, plus Newest / Oldest order.
  • Click Clear All Filters to reset everything.

The Overview cards at the top of the sidebar show how many boards you have in each state.

Open a task board

Click any board card to open the board detail view. The view has:

  • A header with the board title, priority badge, and category badge.
  • A sidebar showing progress, status, description, due date and assignees.
  • A row of tabs across the top: Tasks, Discussion, Attachments, Activity.

From the header you can also click Duplicate to copy the board, Edit to update its details, or Delete to remove it (with confirmation).

Add a task to a board

Inside a board's Tasks tab, you'll see two sub-tabs: Outcome and KPI.

  • Outcome tasks are pass/fail — they're either done or not (for example, "Ship landing page").
  • KPI tasks track a number toward a target (for example, "Reach 500 signups").

To add a task:

  1. Open the board.
  2. Click Add Task in the top-right.
  3. Fill in:
    • Task Title (required) — for example, "Hire content writer" or "Get 500 users".
    • Description — optional context.
    • Task Type (required) — Outcome Task or KPI Task. The type can't be changed later.
    • For a KPI task, set Target Number (e.g., 500) and Unit (e.g., users, revenue, items).
    • Assign Members — tick the teammates who'll own the task.
    • Priority (required) — Low, Medium, High or Urgent.
    • Start Date and Due Date — pick from the calendar.
  4. Click to create.

Switch views inside a board

Above the task list, you can flip between three views:

  • Card — visual cards laid out in a grid.
  • Table — a denser table with sortable columns.
  • Kanban — columns for each status (Pending, In Progress, Done, etc.). Drag a card between columns to change its status.

For outcome tasks, all three views are available. KPI tasks have their own views tailored to progress tracking.

Filter tasks

Above the task list:

  • Assigned to — show only tasks assigned to a specific teammate, or unassigned tasks.
  • Search tasks — find a task by name.
  • Hide completed — when there are completed tasks in Card or Table view, this checkbox tucks them away so you focus on the work that's left.

Edit a task

  1. Click any task card or row to open the task detail sheet.
  2. Update any field — title, description, priority, assignees, dates, status, KPI progress.
  3. Mark Outcome tasks as Done with the checkbox.
  4. For KPI tasks, type the latest number — progress recalculates against the target.

Use the Delete option inside the task sheet to remove it (with confirmation).

Move tasks between columns

In Kanban view, drag any task card to a new column to change its status — for example, drag from In Progress to Done. The board's overall progress bar updates automatically.

You can also change a task's status from inside the task sheet using the status dropdown.

Track progress and complete a board

The board's progress percentage (shown in the left sidebar of the board view) is calculated from your tasks: outcome tasks count as done when ticked, KPI tasks count partially based on how close the number is to the target.

When you're finished:

  1. From the board's status dropdown, switch the status to Completed.
  2. The board moves into the Completed pile and shows a green status badge.

You can also switch back to In Progress or Pending if work resumes, or to Cancelled if the work is no longer needed.

Discuss the board with your team

  1. Inside a board, open the Discussion tab.
  2. Click to start a new thread.
  3. Type your update, question, or decision. Use the @ symbol to mention a teammate.
  4. Post the comment.

The Discussion tab count shows how many comments are on the board.

  1. Open the Attachments tab inside a board.
  2. Drag and drop files, or use the upload button.
  3. Attachments are listed with previews where possible.

See what's changed

The Activity tab shows a chronological log of who did what — task creates, status changes, assignments, comments and more. Use it to catch up after time away.

Duplicate or delete a board

From the board view header:

  • Duplicate — opens a confirm dialog. Click to confirm and Nautis creates an exact copy of the board with its tasks (you can rename it after).
  • Delete — opens a confirm dialog. Click Delete to remove the board and all its tasks, comments and attachments. This is permanent.

Export your boards

From the Task Boards list page, click the Download icon in the top-right. Nautis exports your boards as a CSV file in a new tab.

Tips & limits

  • Use templates when you start — they save typing and give you a sensible structure.
  • Outcome and KPI tasks live in the same board but on separate sub-tabs, so a single board can mix qualitative work with measurable targets.
  • The Hide completed toggle is only available when there's at least one completed task and you're in Card or Table view — Kanban always shows the Done column.
  • Categories and priorities flow through to the dashboard's overview counts, so use them consistently.
  • Need to share progress with someone outside the board? Export to CSV from the Task Boards list.

Frequently asked questions

Why can't I change a task's type after creating it?

Outcome tasks (pass/fail) and KPI tasks (number tracking) have different data fields. Switching types after the fact would leave fields empty or invalid, so Nautis locks the type at creation time. If you need to change it, delete the task and add a new one of the right type.

What's the difference between completing a task and completing a board?

Completing a task marks that single item as done. Completing a board means moving the board's overall status to Completed, usually after all its tasks are done. You can mark a board Completed even with some open tasks, but the progress bar will reflect that.

How is the board's progress calculated?

Each task contributes to the total. Outcome tasks count as 100% when marked done. KPI tasks count by how close the current number is to the target. The number you see in the board sidebar is the average across all tasks.

Can teammates see boards I haven't shared with them?

No. Only people on the board's Shared Access list (and admins) can open it. If a teammate can't see a board, edit the board details and add them.

What happens when I delete a board?

Everything — tasks, discussion, attachments and activity — is permanently removed. Nautis always asks you to confirm before deleting. If you might need the data later, duplicate the board first.

Can I archive a board instead of deleting it?

Set the status to Cancelled or Completed. The board moves out of your active view but the data is preserved, and you can filter back to it any time.
