What it does
A real email client inside Nautis. Connect your Gmail, Outlook, or any IMAP mailbox (Yahoo, iCloud, and Zoho where enabled) and read, reply, and send from one unified inbox — with AI summaries, smart replies, and your Nautis contacts a click away. Multiple mailboxes merge into one chronological feed, and mailbox slots are pooled across your organization.
Who can use it
- Anyone in your organization with read permission for the Email module can use the inbox.
- Create permission is needed to connect a mailbox.
- Each connected mailbox uses one slot from your organization's pool. Plans include a number of slots (typically 3); Owners and Admins can subscribe to extra slots, billed monthly per slot.
- You see the mailboxes you connected, plus any a teammate has shared with you. Admins can manage all org mailboxes.
Where to find it
From the sidebar, open Profile & Company and click MailBox.
Connect your first mailbox
- On the welcome screen ("Your unified inbox."), click Connect mailbox and pick your provider — Gmail, Outlook, or Other (IMAP) (plus Yahoo, iCloud, or Zoho if your workspace has them enabled).
- You're redirected to your provider's own sign-in screen. Approve access there — Nautis never sees your password, and access tokens are encrypted at rest.
- You land back in the inbox with a "Connected your address" confirmation. New mail arrives within seconds; historic mail can take a few minutes to finish indexing.
To add more mailboxes later, repeat from the account switcher or Email settings — each one uses a slot.
Find your way around
- Left sidebar — the account switcher (All accounts for the unified feed, or a single mailbox), the Compose button, standard folders (Inbox, Starred, Snoozed, Sent, Drafts, Scheduled, Archive, Spam, Trash), and your Labels.
- Thread list — conversations with sender, subject, snippet, and unread badges. Search the current folder with the search box (/), and narrow with the All / Unread / Starred chips.
- Reading pane — the open conversation. Toolbar actions (with keyboard shortcuts): Reply (R), Reply all (A), Forward (F), Archive (E), Snooze, Star (S), Assign, Label (L), Delete (#). Navigate threads with J/K; C starts a new message.
- Attachments show as chips with Download and Move to Data Rooms — handy for filing investor docs straight from email.
Compose and send
- Click Compose (or press C). A compose panel opens in the corner — expand it if you want more room.
- Fill in the message:
- From — pick which mailbox to send from (when you have more than one).
- To — type addresses, or click the contact-picker icon to search your Nautis contact directory. Cc/Bcc toggle on when needed.
- Subject and a rich-text body.
- Attachments via the paperclip — up to 25 MB per file.
- Optional extras in the footer: your signature (set per mailbox in Mailbox settings; your default inserts automatically on new messages) and Scheduled send to pick a later send time.
- Click Send (or Cmd/Ctrl+Enter). Drafts auto-save while you write.
Use the AI assistant
AI features are billed against your Nautis AI credits — never your email provider's quota.
While reading — the AI summary card on a conversation offers:
- Summarize thread — a 2–4 sentence summary with an "Action needed" line. Threads with several messages summarize automatically.
- Suggest reply — drafts a reply into the composer for you to edit and send.
- Extract tasks — pulls action items the AI found in the thread.
- Translate — translates the latest message into one of 10 languages.
While writing — click the sparkles icon in the composer for:
- Draft from prompt — brief the AI ("Decline the meeting politely, propose Tuesday") and it writes the email.
- Rewrite tone… — more concise, more formal, more friendly, shorter, or longer.
- Continue writing and Suggest subject.
Manage mailboxes, slots, and sharing
Open Email settings (sidebar account menu → Manage mailboxes):
- The quota banner shows "used of limit mailboxes used". Owners/Admins click Manage slots to add or remove subscribed slots (billed monthly per slot, prorated immediately, up to 25) or cancel the subscription.
- Share a mailbox: on your mailbox card, open the menu → Manage sharing to let chosen teammates read and work the same inbox.
- Disconnect: card menu → Disconnect mailbox. Nautis stops syncing and revokes its access with your provider — the slot frees up and you can reconnect later.
- Mailbox settings on each mailbox manages its signatures (create several, pick a default).
Tips & limits
- Attachment limit: 25 MB per file.
- If a mailbox shows an error, disconnecting and reconnecting from Email settings re-authorizes it.
- If your slot subscription lapses, extra mailboxes enter a 14-day grace window — reading keeps working, sending is blocked — before they're marked read-only. Plan-included mailboxes are unaffected, and no mail is ever lost.
- Assign a thread to a teammate (the Assign button) to hand off an email without forwarding it.
- Every connect, send, disconnect, and delete is recorded in your organization's audit log.
- Slot counts and pricing are plan-dependent — the Manage slots dialog always shows your workspace's current per-slot price.
Frequently asked questions
Which email providers can I connect?
Gmail and Outlook out of the box, plus Other (IMAP) for any standard IMAP/SMTP mailbox. Yahoo, iCloud, and Zoho appear when enabled for your workspace — if a provider is missing, ask your admin.
Is my email password stored in Nautis?
No. You sign in on your provider's own page; Nautis stores only an encrypted access token (AES-256-GCM) and revokes it with the provider when you disconnect.
Can my whole team use one support@ mailbox?
Yes — connect it once, then use Manage sharing on the mailbox card to give teammates access. Thread Assign helps divide up who's handling what.
What happens when we run out of mailbox slots?
The connect flow stops with "Mailbox limit reached". An Owner or Admin can add subscribed slots from the quota banner's Manage slots — each extra slot is billed monthly and can be cancelled anytime.
Do AI replies use my Gmail/Outlook quota?
No. AI features run on your Nautis AI credits. If you run out you'll see "You're out of AI credits" — top up under Settings → Billing → AI Credits.
How far back does my mail sync?
New mail appears within seconds of connecting; your existing history indexes in the background over the first few minutes and keeps going deep into your archive.
Can I schedule an email to send later?
Yes — use the Scheduled send picker in the composer footer. Scheduled messages wait in the Scheduled folder, where you can still cancel them.
I disconnected a mailbox by mistake — is my email gone?
No. Your email always lives with your provider; Nautis only holds access. Reconnect the mailbox and everything is back.
