Social Calendar

9 min readUpdated

What it does

Helps you plan, review, and schedule social media content as a team. You group related content into plans, organize posts into campaigns inside each plan, draft posts for each channel (Facebook, Instagram, LinkedIn, Twitter/X, TikTok, YouTube, Pinterest, Threads, WordPress, or any other channel), and send them through an approval workflow before they go live. Every edit is versioned, so nothing ships without a green light from your manager.

Who can use it

  • Anyone in your organization with read permission for the Social Calendar module.
  • Each plan has its own access list. Inside a plan, your role decides what you can do:
    • Viewer — see posts and discussions; can't edit anything.
    • Editor — draft and edit posts; can't approve.
    • Manager — full control: invite people, approve posts, change settings.
  • The person who created the plan is automatically a Manager.

Where to find it

From the sidebar, open Marketing and click Social Calendar.

Step by step

Create a social plan

A plan is a container for a campaign series — for example, "Q3 Product Launch" or "Always-On Brand Content".

  1. On the Social Calendar page, click New Plan in the top-right.
  2. Fill in the dialog:
    • Title (required) — for example, "Q3 Product Launch Campaign". Up to 200 characters.
    • Description — goals, audience, key messaging. Optional, up to 5000 characters.
    • Category — pick one of: Launch Campaign, Product Announcement, Brand Awareness, Content Series, Event Promotion, Community, Sales, Recruiting, or Other.
    • Manager (approves posts) (required) — the person who'll review and approve posts. Default is you.
    • Start date and End date — optional, for time-boxed plans.
    • Accent color — color used to brand the plan card and its detail page.
  3. Click Create plan. Nautis opens the new plan so you can start adding accounts and posts.
Step by step

Find your way around a plan

Open any plan card and you'll see a header with the plan title, status, dates, manager, crew, and connected channels. Below the header is a tab bar with these tabs:

  • Overview — at-a-glance summary, recent activity, and key metrics.
  • Posts — the main work area for drafting and scheduling posts. Has three sub-views: Board (Kanban by status), Calendar (month view), and List (table). Switch with the pill next to the Posts tab.
  • Campaigns — group posts into waves with a shared goal.
  • Approvals — posts waiting on a manager's review. A badge shows how many are pending.
  • Activity — a full audit log of who changed what and when.
  • Files — attachments uploaded to the plan or to any of its posts.
  • Accounts — the social channels this plan posts to.
  • Discussion — plan-level chat threads with your team. Badge shows unread threads.
  • Members — who has access to this plan and what role they hold.

Use the back arrow in the header to return to the list of plans. The plan status — Planning, Active, Completed, or Archived — appears as a colored dot next to the title.

Step by step

Connect social accounts

Each plan tracks its own list of channels — your Instagram handle, LinkedIn page, X profile, and so on.

  1. Open the plan and click the Accounts tab.
  2. Click Add account.
  3. Fill in:
    • Platform (required) — Facebook, Instagram, LinkedIn, Twitter/X, TikTok, YouTube, Pinterest, Threads, WordPress / Blog, or Other.
    • Handle (required) — for example, nautis (no @).
    • Display name — for example, "Nautis Official".
    • Profile URL — for example, https://instagram.com/nautis.
    • Notes — anything the team should know about this account.
  4. Save. The account now shows up as a channel option whenever you create a post in this plan.

To reuse channels you've already added in another plan, click Copy accounts from another plan in the Accounts tab.

Step by step

Invite people to the plan

  1. Open the plan and click the Members tab.
  2. Click Grant access.
  3. Pick the team member and choose their Role — Viewer, Editor, or Manager.
  4. Click Grant.

To change someone's role, use the dropdown next to their name. To remove access, click the ghost icon and confirm.

Step by step

Create a campaign

Campaigns let you group posts into a wave — for example, "Launch Week 1 – Teasers" or "Black Friday".

  1. Open the plan and click the Campaigns tab.
  2. Click the new-campaign button.
  3. Fill in:
    • Name (required) — for example, "Launch Week 1 – Teasers".
    • Goal — what this campaign needs to achieve, up to 2000 characters.
    • Status — Planning, Active, or Completed.
    • Start date and End date — when the campaign runs.
  4. Save.

Posts can be assigned to a campaign when you create them. Posts without a campaign sit in the Backlog.

Step by step

Draft a post

  1. From any tab in the plan, click New post in the header.
  2. The New post dialog opens with two tabs: Content and (after channels are picked) per-channel customization.
  3. Fill in the Content tab:
    • Title (internal) (required) — what your team calls this post, for example "Launch day announcement". This isn't shown publicly.
    • Channels (required) — tick every channel you want this post to go out on. The list is populated from your Accounts tab.
    • Assignees — team members who should work on this post.
    • Approver — pick a manager, or leave on Auto — first plan manager.
    • Deadline — date and time the draft needs to be ready.
    • Schedule — date and time the post should publish.
    • Post type — Post, Story, Reel, Video, Carousel, Article, or Poll.
    • Priority — Low, Medium, High, or Urgent.
    • Campaign — assign to a campaign, or leave as (Backlog).
    • Copy — the caption text. Use the Default copy tab as your master version; switch to a channel tab (Instagram, LinkedIn, etc.) to override the copy for that channel.
    • Hashtags — for example, #launch #product.
    • Media — upload images, videos, or pick from the gallery. Like copy, you can set a default and override per channel.
  4. Save the draft. The post lands in the Draft column on the board.
Step by step

Move a post through the workflow

Every post has a status. The flow goes:

  1. Draft — work in progress.
  2. In Review — the editor clicks Submit for review. The approver is notified.
  3. The approver opens the post and clicks Approve, Request changes, or Reject.
    • Approve moves the post to Approved.
    • Request changes moves it to Changes Requested with a comment for the editor.
    • Reject moves it to Rejected.
  4. Scheduled — once a publish time is set on an approved post.
  5. Published — once it's live.
  6. Archived — old posts you want out of the way.

You can drag cards between status columns in the Board view, or change status from the post detail panel.

Step by step

Review and approve posts (managers)

  1. Open the plan and click the Approvals tab. Every post awaiting a decision shows up here.
  2. Click a post to open it.
  3. Read the copy, scroll through media, and leave comments where needed.
  4. Click one of:
    • Approve — accept the post as-is.
    • Request changes — send it back to the editor with a note.
    • Reject — kill the post.

If you want to delegate, change the Approver in the post details to another manager.

Step by step

Use the calendar and list views

  • Calendar view: switch the Posts view pill to Calendar. You see one month at a time, with each scheduled post on the day it's set to publish. Click a date to see all posts for that day; click a post to open its details.
  • List view: switch to List for a sortable, filterable table — useful when you have many posts and want to find one fast.

Your last-used view (Board, Calendar, or List) is remembered for next time.

Step by step

See version history

Every edit to a post is saved as a version, so you can see what changed and roll back if needed.

  1. Open a post.
  2. Look for the version-history link in the post detail panel.
  3. Pick an older version to view what it looked like, or restore it.
Step by step

Pin important plans

  1. On the Social Calendar page, hover any plan card.
  2. Click the pin icon to pin it. Pinned plans appear in their own Pinned section at the top.
  3. Click the pin again to unpin.

You can pin a plan from inside the plan as well, via the More menu next to the New Post button.

Step by step

Filter and search your plans

On the Social Calendar page:

  • Use the search bar to find plans by title.
  • Use the filter pills — All, Mine, Active, Archived — to narrow the list.
  • Hit Archived to see plans you completed; they're hidden from the All view by default.
Step by step

Discuss a plan

  1. Open the plan and click the Discussion tab.
  2. Start a new thread, type your message, and post.
  3. Team members get notified and can reply.

Use Discussion for plan-wide conversations (strategy, briefs, feedback). For comments on a specific post, use the post's comment thread instead.

Step by step

Archive or delete a plan

  • Archive: edit the plan and change its status to Archived. Archived plans stay searchable but don't clutter the main list.
  • Delete: open the plan's More menu and click Delete plan. You'll be asked to confirm. This permanently removes the plan and every campaign, post, comment, and attachment in it — there's no undo.

Tips & limits

  • Pick your Manager carefully when creating a plan — they're the default approver for every post. You can override per post.
  • The Default copy on a post acts as the fallback. If you don't customize a channel's copy, it uses the default. This saves time when most channels want the same caption.
  • Use Campaigns for time-boxed pushes (launch week, holiday sale). Posts without a campaign sit in the Backlog for ongoing content.
  • Use the Priority field to flag urgent posts; the board highlights URGENT in red.
  • Status badges on plan cards: Active = currently running, Planning = not yet started, Completed = wrapped up, Archived = hidden from the default view.
  • Stat counters at the top of the page show Active plans, Posts in flight, Awaiting review, and Scheduled this week — your quick health check.
  • You can have multiple managers on a plan; any of them can approve.

Frequently asked questions

Does Nautis actually publish my posts to social networks?

The Social Calendar is for planning and approving content. It tracks what's going where and when, but you still publish from your own social tool or by hand (for now). The Accounts tab is metadata about your channels — it's not a connected publishing integration.

What's the difference between a plan and a campaign?

A plan is the long-running container — for example, "All marketing 2026". A campaign is a wave inside a plan with a defined goal and date range — for example, "March Webinar Promotion".

Who can approve posts?

Anyone with the Manager role on the plan. The plan creator is automatically a Manager.

Can the same post go to multiple channels?

Yes. Tick all the channels you want under Channels when drafting the post. You can keep the same copy for all of them (the Default) or customize per channel using the per-channel copy tabs.

Can I override the caption for just Instagram?

Yes. In the post editor, switch from the Default copy tab to the Instagram tab and type a custom caption. The other channels keep using the default.

What happens when I "Request changes"?

The post status flips to Changes Requested and the assigned editor is notified. They fix the post and click Submit for review again, sending it back to you.

Can I see who edited what?

Yes. The Activity tab shows a complete timestamped log for every change. Each post also has its own version history.

Can I have multiple people draft the same post?

Yes — add them all as Assignees on the post. Any of them with Editor or Manager role can edit.

My approver isn't in the dropdown — what now?

Make sure they have access to the plan with the Manager role. Open the Members tab to invite them or change their role.

Can I bulk-schedule posts from a CSV?

Not yet. Create posts one at a time inside the plan.

What does "Backlog" mean?

A post that isn't assigned to a campaign sits in the Backlog. It still goes through the same workflow — it's just not tagged with a campaign.

Can I undo deleting a plan?

No. Deleting a plan is permanent and removes every campaign, post, comment, and attachment inside it. Archive instead if you want to keep the history.
