What it does
Lets people book time with you through a shareable link, and lets you create one-off meetings on your own calendar. You set your hours once, create event types (like a 30-minute intro call), and Nautis handles the scheduling.
Who can use it
- Anyone in your organization with read access to the Meetings module.
- Creating event types, schedules, or meetings needs create permission on the same module.
- The feature must be enabled on your plan.
Where to find it
From the sidebar, open Profile & Company and click Meetings.
Set up your availability hours
- In the left sidebar of Meetings, click Availability Schedules under Settings.
- Click New Schedule.
- Type a name (for example, Working Hours) and press Create.
- The weekly editor opens. For each day, flip the switch to enable it, then choose the start and end time.
- To add a lunch break or split a day, click Add time window (break between) and set the second window.
- Use the copy icon next to a day to Apply to all days.
- Click Save Changes.
You can keep more than one schedule (for example, a "default" set of hours and a "fundraising sprint" set). Use the star icon to mark a schedule as the default.
Create an event type
An event type is a bookable meeting (its duration, location, and rules). Before creating one, make sure you have a calendar connected and an availability schedule. If either is missing, Nautis will prompt you to set them up first.
- In the Meetings sidebar, click Manage next to Event Types (or pick the Event Types section).
- Click New Event Type.
- Fill in the form:
- Title — what bookers see (for example, 30 Minute Meeting).
- URL Slug — auto-filled from the title; only lowercase letters, numbers, and hyphens.
- Description — optional, shown on the booking page.
- Duration — 15, 30, 45, 60, 90, or 120 minutes.
- Availability Schedule — pick which schedule controls this event type's hours.
- Slot Interval — how often slots show up (every 5, 10, 15, 30, or 60 minutes).
- Location Type — Google Meet, Zoom, Microsoft Teams, Phone Call, In Person, or Custom Link. Video options require the matching integration to be connected; otherwise they show as "not connected".
- Minimum Notice — how soon before a slot people can book (in minutes).
- Max Advance — how far ahead people can book (in days, up to 365).
- Buffer Before / After — protected minutes around each booking.
- Max per day / Max per week — optional caps.
- Color — pick from the swatches or open the custom color picker.
- Click Create.
To change an event type later, click its row and use the edit option. Toggle the active switch to pause bookings without deleting the event type.
View your calendar
- Open Meetings.
- The default view is the calendar. Use the list/calendar toggle in the top right to switch.
- In the left sidebar, click Upcoming, Past, or Cancelled to filter.
- Click an event type below to filter to just that type. Choose All Types to clear the filter.
- If you've connected Google Calendar or Outlook, your external events appear alongside Nautis bookings. Toggle Show external calendar events to hide them.
- Use the refresh button next to New Meeting at the top to pull in the latest data.
Schedule a one-off meeting
Use this when you want to put a meeting on your own calendar without going through a booking link.
- On the Meetings page, click New Meeting.
- Enter:
- Title and an optional Description.
- Date, Start time, Duration, and Timezone.
- Location — pick a video provider, phone, in person, or a custom link.
- Attendees — type a name and email, pick from Contacts, or pick from Team Members. Each attendee gets an email invite with a calendar (.ics) attachment.
- Optional Recurrence (daily, weekly, monthly) and an end date.
- Color.
- Click Create.
Click any meeting in the list to open its details, edit, or cancel it.
Copy your booking link
You can share a single overall page or a link for a specific event type.
To share one event type:
- In the Meetings sidebar, click the event type name. The bookings list filters to that type.
- The booking URL appears above the calendar with a copy button. Click it; you'll see Copied to clipboard.
To share your full booking page (all active event types in one place):
- In the Meetings sidebar, click Share & Links.
- Copy the booking page URL, generate a short link, download a QR code, or open the embed dialog for any single event type.
Work with a meeting's transcript
When a transcription tool (Fathom, Fireflies or Read.ai) is connected under Integrations, the recording's summary, action items and full transcript appear at the bottom of the meeting's details.
- Open the meeting from the calendar or list. Scroll to Meeting transcript.
- Copy (next to the heading) copies the formatted notes — title, summary, action items, participants and the full transcript — so you can paste them into Notes, a doc or an email as formatted text.
- Email opens a confirmation first: tick which attendees should receive it, choose whether to include the full transcript or just the summary, add an optional note, then click Send. Only people on the meeting can be selected.
- Under Action items, click Add to Task Board on any item. The same dialog you know from Chat asks which Task Board to use and lets you set priority, due date and assignees; the item then shows On Task Board.
- In Attendees, anyone not yet in your Contacts shows Add to contacts; click it to save them with their name and email prefilled. People already saved show In contacts, which opens their record.
Tips & limits
- The setup checklist on the bookings page tracks the three things you need: an event type, an availability schedule, and a connected calendar.
- Connect Google or Outlook from Integrations so Nautis can write bookings to your real calendar and avoid double-booking. Zoom can also be connected there for auto-generated Zoom links.
- If a calendar connection breaks (Google/Outlook revoked access or the token expired), a yellow banner shows up with a Reconnect button.
- Cancelling a booking notifies you and the invitee. A reason field is optional.
- Slot interval is independent of duration — for example, a 30-minute event can show every 15 minutes if you want denser slots.
Frequently asked questions
Can I have different hours on different days?
Yes. The weekly schedule editor lets you flip any day on or off and add multiple time windows per day (great for splitting around lunch).
What happens if an invitee is in a different timezone?
Your booking page automatically converts times to the visitor's timezone. Bookings still respect your availability hours.
Can I block off time for personal events?
Connect your Google or Outlook calendar in Integrations. Anything on your external calendar blocks Nautis from offering those slots.
Can someone book me at the last minute?
Only if their booking time is at least the Minimum Notice you set on the event type.
Do invitees need a Nautis account?
No. The booking page is public; they just enter their name and email.
