What it does

Notes is your team's workspace for capturing investor updates, meeting summaries, strategy ideas, and product learnings. It's a full rich-text editor with folders, tags, comments, sharing, and export to PDF or Word.

Who can use it

  • Anyone in your organization with read access to the Notes module. Creating new notes requires create rights; editing your own notes requires write rights. Roles can be adjusted by your Super Admin.
  • The Notes feature must be enabled for your organization, otherwise you'll see a "Feature disabled" message.
  • Your organization may have a monthly limit on how many new notes you can create. If you've hit it, the Add Note button will be disabled and Nautis will let you know.

Where to find it

From the sidebar, open Profile & Company and click Notes.

What you'll see

The page has two panes:

  • Left: the list of your notes with search, status filters (All notes, Drafts, Published, Archived), a pinned-only filter, and a folders bar.
  • Right: the editor for whatever note is selected.

The top bar shows Notes, a Refresh button, a Manage folders button, and an Add Note button.

Step by step

Create a note

  1. Click Add Note in the top-right.
  2. The editor opens with a blank note in Draft status.
  3. Click the small pencil icon next to Untitled note to set a title, then click Save.
  4. Click into the editor body and start writing. You can type / to bring up a slash menu with headings, lists, tables, images, and more.
  5. Click Save in the top-right of the editor when you want to commit your changes. You'll see a "Note saved" confirmation.

Edit a note

  1. Pick the note from the list on the left. It opens in the editor.
  2. Click anywhere in the body to start typing — your edits are tracked as unsaved until you click Save.
  3. Hit Save when done.

Change note metadata (status, tags, summary, pin, sharing)

  1. Open the note and click the gear icon in the editor's top-right to open the Note settings panel.
  2. From here you can edit:
    • Executive summary — a short version for quick scanning.
    • Tags — comma separated (max 20).
    • Status — Draft, Published, or Archived.
    • Shared access — pick team members who can see and edit this note.
    • Pin note — toggle on to keep it at the top of the list.
  3. Click outside the panel or close it to dismiss. Changes save when you click Save on the main editor.

Organize with folders

  1. Click Manage folders in the top bar (or the gear icon in the folder strip).
  2. In the dialog that opens, create new folders, rename existing ones, or delete folders you no longer need.
  3. To move a note into a folder, open the note and click the folder chip below the title — a picker shows your folders. Selecting one assigns the note immediately.

Share a note with someone outside Nautis

  1. Open the note and click the share icon in the editor's top-right. The Share dialog opens.
  2. Choose whether to share publicly with a link or privately to a specific email address.
  3. Set optional rules: a password, an expiry date, whether the viewer can comment, download, or edit.
  4. Generate the link and copy it to your clipboard. Anyone with the link (and the password, if set) can open the note in their browser without a Nautis account.
  5. You can see how many times each share has been viewed inside the same dialog, and revoke or delete a share when you're done with it.

Collaborate with comments

  1. Open the note and click the Comments button in the editor's top-right.
  2. A comments side panel opens. Add a comment at the page level or reply to existing threads.
  3. A small badge on the Comments button shows how many unresolved comments are open.

Print or export a note

  1. Open the note and click the More menu (three dots) in the editor's top-right.
  2. Choose:
    • Print note — opens your browser's print dialog.
    • Export as PDF — downloads a PDF of the note.
    • Export as Word (.docx) — downloads a Word document.

Duplicate, archive, restore, or delete

  1. Open the note and click the More menu (three dots) in the editor's top-right.
  2. Pick:
    • Duplicate note — creates a copy.
    • Archive note — moves it out of your main list (still searchable under the Archived filter).
    • Restore note — only shown on archived notes; brings it back to the active list.
    • Delete note — permanent. Nautis asks you to confirm.

Tips & limits

  • The editor supports a full set of formatting: headings, lists, checkboxes, tables, images, callouts, and more — type / to discover commands.
  • Tags are limited to 20 per note.
  • A note can be sent to DocSign for signature from the More menu if your organization has the DocSign module enabled.
  • Your organization may cap how many notes you can create each month. Archived and deleted notes don't free up the monthly count.

Frequently asked questions

Are my notes private to me by default?

Yes. New notes are only visible to you until you share them with teammates via Shared access in note settings, or generate a public share link.

Can multiple people edit the same note at once?

Teammates with shared access can each open and save changes. The most recent save wins, so coordinate on big edits.

What's the difference between Draft, Published, and Archived?

Draft is your work-in-progress state. Published is the "finished" state — useful for filtering investor updates or team memos. Archived hides the note from your main list without deleting it.

How do I get a note back after archiving it?

Change the status filter at the top of the notes list to Archived, open the note, and either set the status back to Published in the settings panel or use Restore note from the More menu.

Can someone with a share link edit my note?

Only if you turned on Allow edit when you created that share. Otherwise the link is view-only.

What happens to a note when I delete it?

Deleted notes are gone for good — there's no trash bin. If you're not 100% sure, archive instead.
