I never got the reset email. What now?

Check your spam or junk folder. If it's not there, double-check the email address you typed and try again. Remember the 3-per-hour limit.

Full guide: Forgot, reset or change your password

The reset link says "Invalid or expired." What happened?

The link is older than 1 hour or has already been used. Go back to Forgot password? and request a new one.

Full guide: Forgot, reset or change your password

Can I change my password without knowing the old one?

Not from inside the app — the security settings require your current password. If you don't remember it, sign out and use Forgot password? on the login page instead.

Full guide: Forgot, reset or change your password

Why does the "Set Your Password" screen ask for a special character but the regular reset doesn't?

It enforces an extra-strict policy for accounts that were created by an admin, so your first password isn't easy to guess.

Full guide: Forgot, reset or change your password

I signed up with Google or LinkedIn — do I need a password?

Not normally — you sign in with the same social button. If you want to add password sign-in, you can set one through the change-password flow once you're in.

Full guide: Forgot, reset or change your password

Can I use a different email than the one in the invite?

No. The invite is locked to the invited address. Ask the inviter to resend it to your preferred email.

Full guide: Accept an invitation

I clicked the invite link but the page says "Invalid or expired invitation." What now?

Either the 7-day window has passed or the link has already been used. Ask your admin to send a new invite.

Full guide: Accept an invitation

Do I have to go through onboarding after accepting?

You skip the "create an organization" step because you already belong to one. If your profile is missing a role or full name, you may still see steps 2 and 3 of onboarding.

Full guide: Accept an invitation

Can I see what permissions my role gives me?

The role name and description are shown on the invitation review page. Your organization's admin can adjust permissions later.

Full guide: Accept an invitation

Can I leave the organization later?

Yes. Once you're in, your organization owner or admin can remove you, and you can also leave from your member settings.

Full guide: Accept an invitation

I get "Invalid credentials" but I'm sure my password is right. What now?

Double-check the email — small typos are easy to miss. If the password really is wrong, click Forgot password? to reset it.

Full guide: Sign in

The page says "Email not verified". What does that mean?

You signed up but never finished verifying your email. Sign up again with the same address, or contact your administrator — your account stays in an unverified state until you enter the 6-digit code we emailed you.

Full guide: Sign in

The page says "Your account has been banned." What can I do?

A Nautis admin has suspended your account. Contact support for help.

Full guide: Sign in

I see "Complete your signup" after clicking a social button. Why?

You don't have an account yet. We pre-fill your name and email from Google or LinkedIn and ask you to choose an organization name to finish creating your account.

Full guide: Sign in

Where do I land after signing in?

Most people go to /dashboard. Admins and support agents go to the backoffice dashboard. If you opened a deep link before signing in, we send you back there.

Full guide: Sign in

Can I stay signed in across browser restarts?

Yes — tick Keep me logged in before signing in.

Full guide: Sign in

I accidentally clicked the wrong role tile. Can I change it later?

Yes — use the Previous button before clicking Next step. Once you finish onboarding, you can change your designation from your profile settings.

Full guide: Finish onboarding

I uploaded the wrong photo. How do I replace it?

Click the upload icon again before clicking Complete. After onboarding, you can update your photo from your profile.

Full guide: Finish onboarding

Do I have to add a phone number?

No, the field is optional. You can add it later in your profile.

Full guide: Finish onboarding

What happens if I skip onboarding by closing the tab?

The next time you sign in, Nautis brings you back to the step you left off on.

Full guide: Finish onboarding

I joined through an invite — do I still need to do this?

Invited members already belong to an organization, so you don't see step 1. You may still see steps 2 and 3 if your profile is missing information.

Full guide: Finish onboarding

Where do I land when onboarding is done?

Your startup profile page, where you'll start building your pitch and plans.

Full guide: Finish onboarding

I didn't get the verification email. What do I do?

Check your spam or junk folder first. If it's not there, wait for the 60-second countdown and click Resend code.

Full guide: Sign up

Can I sign up without creating an organization?

No — every account belongs to an organization. If you're joining an existing team, ask for an invite link instead and use the Accept an invitation flow.

Full guide: Sign up

Do I need a credit card to sign up?

No. You can create your account and use the free features without a card.

Full guide: Sign up

I already have an account. What should I do?

Click Sign in at the bottom of the sign-up form to go to the login page.

Full guide: Sign up

The page says "New registrations are currently disabled." Why?

Your administrator has turned off public sign-ups. Ask them to invite you instead.

Full guide: Sign up

Will my password be checked against my old ones?

Not on first sign-up — but later, when you change your password from your account, we keep a history to stop you reusing recent passwords.

Full guide: Sign up

Which authenticator app should I use?

Any TOTP-compatible app works — Google Authenticator, Authy, Microsoft Authenticator, 1Password, Bitwarden and Duo are all fine.

Full guide: Two-factor authentication

I lost my phone. How do I get back in?

Use one of the backup codes you saved when you first set up 2FA. Enter it where the 6-digit code would normally go.

Full guide: Two-factor authentication

I lost my phone *and* my backup codes. What now?

Contact your administrator or Nautis support — they can disable 2FA on your account so you can sign in and start over.

Full guide: Two-factor authentication

Does 2FA cover social sign-in too?

Social sign-in (Google, LinkedIn) goes through the provider's own protections. 2FA in Nautis is layered on top of the email/password sign-in.

Full guide: Two-factor authentication

I see "Invalid verification code" but my time looks right. Why?

Codes are based on the clock on both your phone and our server. If your phone's clock is set manually, switch it to automatic time so it matches.

Full guide: Two-factor authentication

Account & organization

Account & organization guides

Why is **Security Alerts** greyed out?

Login attempt warnings and password-change confirmations are critical for account safety, so they can't be disabled.

Full guide: Account settings — Email Preferences

I turned off **Chat Notifications** — will I stop seeing chat in the app too?

No. This tab only affects emails. Chat inside the app keeps working.

Full guide: Account settings — Email Preferences

I unsubscribed from the link in an email. Why does it still show "on" in this tab?

Your browser may have cached the page. Refresh, or reopen Account Settings → Email Preferences to see the updated state.

Full guide: Account settings — Email Preferences

What's the difference between **Weekly Digest** and **Product Updates**?

Weekly Digest is your personal activity summary (mentions, tasks, etc.). Product Updates are Nautis's release notes and feature announcements.

Full guide: Account settings — Email Preferences

Will I still get invoices if I turn off **Marketing Emails**?

Yes. Invoices are transactional emails and don't belong to the marketing category.

Full guide: Account settings — Email Preferences

Where can I see the emails Nautis has sent me?

Check your inbox — there's no in-app email archive on this tab.

Full guide: Account settings — Email Preferences

Why is **Security** greyed out?

Security notifications can't be turned off. Things like failed sign-ins are critical to see, so they're locked on.

Full guide: Account settings — Notifications

I turned off **Tasks** but I still got an email when someone assigned me a task. Why?

This tab only controls the bell. To stop the email, go to the Email Preferences tab as well.

Full guide: Account settings — Notifications

I turned off **Chat** but I still see a red badge on the chat icon.

That badge is the per-thread unread count and is not controlled by these toggles. The Chat toggle only affects @mention notifications in the bell.

Full guide: Account settings — Notifications

Can I get a sound or browser pop-up when a notification arrives?

Those aren't exposed in this tab today.

Full guide: Account settings — Notifications

Do my preferences apply to every organization I belong to?

Yes — these are personal preferences, tied to you as a user across every workspace you're a member of.

Full guide: Account settings — Notifications

What if I save by accident?

Toggle the categories back and click Save Preferences again.

Full guide: Account settings — Notifications

I don't see the **Danger Zone**. Why?

It only appears for users who own at least one organization. If you were invited to someone else's workspace, you can leave the workspace from your organization settings but you can't delete your own account from here.

Full guide: Account settings — Profile

Do I need to refresh after saving?

No. Your name and photo update across the app right away.

Full guide: Account settings — Profile

What happens to my organization if I delete my account?

Your personal account and content are queued for deletion after 30 days.

Full guide: Account settings — Profile

Can I change my email here?

No, the Email field is read-only on this tab.

Full guide: Account settings — Profile

What's the difference between "Full name" and "Designation"?

Full name is what people see (e.g. "Jane Smith"). Designation is your role label (e.g. "CEO") that shows next to your name in some places.

Full guide: Account settings — Profile

I forgot my current password. Can I change it from here?

No — this form requires your existing password. Sign out, click "Forgot password?" on the login page, and follow the email reset flow.

Full guide: Account settings — Security

Where are my backup codes?

They were shown once during 2FA setup. If you didn't save them, you may need to disable and re-enable 2FA, or contact support.

Full guide: Account settings — Security

Does changing my password log me out of my phone?

Not directly. Your current browser stays signed in. Other devices that re-authenticate will be prompted to log in again.

Full guide: Account settings — Security

Can I have 2FA enforced for everyone in my organization?

Yes — organization owners can enforce 2FA in workspace settings.

Full guide: Account settings — Security

Why is the **Current Password** field still required even though I signed in with Google?

Nautis ties your password to your email account. If you've never set a password, use the "Forgot password?" link from the login page to set one for the first time.

Full guide: Account settings — Security

What does "Current" mean?

That row is the session you're using right now to view this page.

Full guide: Account settings — Sessions

I see a session from a city I've never been to. What now?

Change your password right away (Account Settings → Security) and turn on 2FA. Then notify your organization owner or support.

Full guide: Account settings — Sessions

Why doesn't the IP match where I am?

Your IP changes with your network — mobile data, office Wi-Fi, home Wi-Fi, VPNs all show different IPs. A small mismatch is normal.

Full guide: Account settings — Sessions

Is there a button to log out every other device at once?

Not as a single button. Change your password — that's the recommended way to revoke other sessions.

Full guide: Account settings — Sessions

Why don't I see my mobile app login here?

Sessions are derived from login activity recorded by Nautis.

Full guide: Account settings — Sessions

How long is each entry kept?

Older sign-ins drop off automatically.

Full guide: Account settings — Sessions

What's the difference between plan credits and bonus credits?

Plan credits come with your subscription and reset at the start of each billing period. Bonus credits are extras you buy or are granted — they don't expire and roll over forever.

Full guide: AI credits & usage

Why does the same prompt sometimes cost a different number of credits?

The exact cost depends on how many tokens the AI sees and generates, which varies with input length and the model's response. Switching to a smaller, cheaper model lowers the per-request cost.

Full guide: AI credits & usage

I see "Unlimited" — does that mean truly no cap?

Your subscription plan can be set to unlimited by the Nautis team. While unlimited is shown, no usage is counted against a quota and no top-up is needed.

Full guide: AI credits & usage

I bought credits but my balance hasn't updated.

Click the refresh icon in the AI Credit Balance card. Stripe webhooks usually credit the account in a few seconds, but the page won't auto-poll. If it's been a few minutes and nothing has appeared, contact support.

Full guide: AI credits & usage

Where do I see a per-user breakdown?

The Recent Usage table includes the user's name on every row. A roll-up by user or by module is shown in the App Usage tab as well.

Full guide: AI credits & usage

Can I get a refund on an unused pack?

Pack purchases are one-time and non-refundable. Buy the size you'll realistically use this month.

Full guide: AI credits & usage

I hit my limit but I deleted some old items — why is the bar still full?

Monthly counters count creations, not current items. Deleting won't roll back the counter for the current month. You'll be back to 0 on the 1st of next month.

Full guide: App usage and limits

Why does **Team Members** never reset on the 1st?

Team members is a Lifetime cap (note the badge). It counts every active member plus pending invites. Remove someone or cancel an invite to bring the number down, or upgrade your plan.

Full guide: App usage and limits

Is there a warning before I hit a limit?

Yes — once a module crosses 80% the card turns amber and shows "X% used". Above 100% it turns red and says "Limit reached".

Full guide: App usage and limits

Where do I see AI usage specifically?

AI credits get their own tab — AI Usage — right next to App Usage. This tab covers creation counts; AI Usage covers tokens/credits.

Full guide: App usage and limits

Where do I see storage usage?

Storage Usage is another tab in the same row, dedicated to how much file storage you've used.

Full guide: App usage and limits

Where do I see what each plan includes?

Scroll past the plan cards to Compare Our Plans. It's a full feature matrix.

Full guide: Billing and plans

I clicked Upgrade — when does my card get charged?

When you complete checkout in Stripe. After that, upgrades within an active subscription typically prorate immediately.

Full guide: Billing and plans

Can I switch from annual back to monthly?

Yes — pick the same plan with the Monthly toggle selected. It's treated as a billing-cycle change and follows the same upgrade/downgrade rules above.

Full guide: Billing and plans

I have referral credits — how do I use them?

If you haven't subscribed yet, the green Apply credits banner appears above the plan cards with a toggle. Turn it on before clicking Subscribe and the credits go against your first payment.

Full guide: Billing and plans

Where do I get a receipt or invoice?

Switch to the Invoices & Payments tab — see the guide below.

Full guide: Billing and plans

Can I change the email Stripe sends invoices to?

Yes — set it on the Organization Settings tab under Billing Information > Edit Details > Billing Email.

Full guide: Billing and plans

Can I rename my organization later?

Yes. The Organization Display Name on the Organization Settings tab can be changed any time by an Owner or Admin. The legal name is separate and is what appears on invoices.

Full guide: Create and manage your organization

I don't see the Settings tab — why?

You're not an Owner or Admin in that organization, or your account has the settings tab turned off. Ask the Owner to either promote your role or contact support.

Full guide: Create and manage your organization

Can two organizations share members?

Yes — invite the same email address to both. The person will see both workspaces in their switcher.

Full guide: Create and manage your organization

I need a tax invoice with my company's GST/VAT number — where do I add that?

Open Organization Settings, click Edit Details on the Billing Information card, and fill in GST / VAT Number and the rest of the billing address. New invoices issued after that include the number. Existing invoices can't be edited after the fact.

Full guide: Invoices and payments

How do I get an old invoice re-sent by email?

Download it here and email it from your own inbox.

Full guide: Invoices and payments

Why does an amount on the Invoices tab differ from the matching Payments row?

A single invoice can be settled by more than one payment attempt (e.g. a retry after a failed card). Check the Payments tab to see each attempt; the Invoices tab shows the consolidated paid total.

Full guide: Invoices and payments

I was charged but I don't see an invoice — what gives?

Wait a couple of minutes and refresh. If it's still missing after 10 minutes, contact support with the date and amount of the charge.

Full guide: Invoices and payments

What's the difference between Owner and Admin?

The Owner is the person who created the organization (or who ownership was transferred to). An Admin can do almost everything the Owner can — invite, remove, edit roles, manage billing — but only the Owner can delete the organization and only the Owner has the locked-in Super Admin role.

Full guide: Members, roles, and permissions

Can I have more than one Admin?

Yes. Invite or promote multiple people to a Super Admin or admin-equivalent role.

Full guide: Members, roles, and permissions

I sent an invite to the wrong email — what do I do?

Find them in Pending Invitations, click Cancel on their row, then click Invite Member again with the correct email.

Full guide: Members, roles, and permissions

Do invited members count against my plan even if they haven't accepted yet?

Yes. Pending invitations count toward the team members cap. Cancel any stale ones.

Full guide: Members, roles, and permissions

Can a member belong to two organizations?

Yes. They sign in with one account and switch between organizations from the sidebar.

Full guide: Members, roles, and permissions

Where do I get a code?

Codes come from partner promotions (AppSumo and similar marketplaces), one-off campaigns the Nautis team runs, or directly from us if you've agreed a custom deal. We don't sell codes from inside the app.

Full guide: Redeem a code

Can I redeem an AI credits pack code or a storage pack code here?

No. The /redeem page is for full plan offers (e.g. lifetime deals, multi-month passes, recurring discounts). Top-ups for AI credits and storage are bought directly from the AI Usage and Storage Usage tabs respectively. See AI credits & usage and Storage usage.

Full guide: Redeem a code

Can I extend my trial with a code?

The redeem flow activates a package rather than extending the existing trial. If you redeem a plan code while on trial, you'll need to cancel the trial first; the code then replaces it with the redeemed plan.

Full guide: Redeem a code

What does "Lifetime access" mean?

A lifetime plan stays active without renewal — you keep the included features as long as your account exists. You'll see "Lifetime access — enjoy!" on the success screen and "Lifetime" beside your subscription afterwards.

Full guide: Redeem a code

I redeemed against the wrong organization — can you move it?

Codes are locked to the org once redeemed. Contact support if this happens; recovery is handled case-by-case.

Full guide: Redeem a code

My code says "can't be redeemed" but I'm sure it's new.

The error message is intentionally generic to prevent code guessing. Double-check that you copied the full code, that it hasn't been claimed by a teammate already, and that any offer-level expiry hasn't passed. If it still fails, contact the team that gave you the code.

Full guide: Redeem a code

Will I be charged when I redeem?

No — the redeem flow never asks for payment. If you see a checkout screen, you're in the wrong flow.

Full guide: Redeem a code

What counts as storage?

Anything your team uploads through Nautis — pitch deck files, brand kit assets, expense receipts, signed documents, chat attachments, HR documents, data room files, and more. The Storage by Module table shows the full breakdown.

Full guide: Storage usage

Why does my **Used** total look different from what I expect?

Storage is tracked per upload, so duplicates and previous versions are each counted. Click refresh to pull the latest reconciled total.

Full guide: Storage usage

Will deleting files refund any money?

No — pack purchases are one-time. Freeing space just gives you more headroom against your existing limit.

Full guide: Storage usage

Can I buy storage on a free trial?

Yes — add-on packs are available on any plan, including trials.

Full guide: Storage usage

What happens when my storage is full?

New uploads will fail with an "over quota" message. Existing files stay safe. Buy a pack or delete files to start uploading again.

Full guide: Storage usage

Do bonus GB expire if I downgrade my plan?

No — bonus storage you've purchased stays attached to your organization regardless of plan changes.

Full guide: Storage usage

Can I have more than one brand kit?

Yes. Create one kit per product or sub-brand. Tag one as primary so other modules know which one to use by default.

Full guide: Brand Kit

How is the primary kit different from the others?

Other modules in Nautis pull from the primary kit when they auto-apply your brand. You can still pick a different kit manually in each module.

Full guide: Brand Kit

Who can edit a kit?

You, anyone you added in Team members with access when creating the kit, and anyone with the Brand Kit "update" role permission.

Full guide: Brand Kit

Does sharing a link give edit access?

No. Share links are read-only and can be set to expire. Use the team-access selector if you want someone to edit.

Full guide: Brand Kit

My team uploaded a font but it doesn't render in the preview.

Make sure the Font Family value matches the font file you uploaded, and that Web Font is toggled on for web use. For Google Fonts, paste the full stylesheet URL into Font URL.

Full guide: Brand Kit

What goes in the letterhead?

A logo, an accent color, header and footer text, and your business contact info. Nautis applies it to PDF exports for the modules you enable.

Full guide: Brand Kit

Can I see who looked at my brand kit?

Yes — open Analytics from the kit header. You'll see views, downloads, unique visitors, top assets, and a full activity log with timestamps.

Full guide: Brand Kit

Do I have to fill in every section to use my profile?

No. You can save a section with only the required fields filled and come back to the rest later. Each section saves independently.

Full guide: Business Profile

What happens if I close the tab without saving?

If you have unsaved changes in the section you're editing, your browser will warn you before the tab closes.

Full guide: Business Profile

Can investors see my profile if it's private?

No. Only people inside your organization can view a private profile. To share with investors or partners, switch the visibility to Public first.

Full guide: Business Profile

Why is my "Funding" section showing incomplete even though I filled in a number?

The funding section counts as complete when both the funding amount and a funding stage are set. Double-check the Business Information section to make sure a funding stage is selected.

Full guide: Business Profile

Can I change my company name later?

Yes. Open the editor, go to Basic Information, change the name, and click Save. The public profile URL updates with it.

Full guide: Business Profile

Can I add my own tasks or milestones to the journey?

The default Journey content is curated by Nautis, so you can't add custom tasks here. Use the Task Board or Notes modules for your own to-dos.

Full guide: Startup Journey

What does "Not applicable" actually do?

It tells Nautis this task doesn't apply to your business so it stops counting as outstanding work. Your progress bars treat it the same as Completed.

Full guide: Startup Journey

Where do my task notes live?

They're attached to each task and visible only to people in your organization who have access to the Journey module.

Full guide: Startup Journey

Do my notes go away if I change a task's status?

No. Status and notes are independent — changing one doesn't touch the other.

Full guide: Startup Journey

Why didn't my progress percentage move when I completed a task?

The percentage rounds to a whole number. If a milestone has many tasks, finishing one might not be enough to bump the headline number. Keep going — it'll move soon.

Strategy & planning

Strategy & planning guides

Will the AI overwrite what I've already written?

Only if you tell it to. When a section already has content and you click Generate with AI, Nautis pops up a confirm dialog and saves the previous content to Version History before replacing it.

Full guide: Business Plans

How are AI credits charged?

Generating a section, scoring the plan, and chatting with the AI each draw a small number of credits from your organization. If you run out, you'll see a clear message and can buy more from the AI credits area.

Full guide: Business Plans

Can I export only a few sections?

Hide the sections you don't want included, then open Preview & Export. The PDF, DOCX and print views all skip hidden sections.

Full guide: Business Plans

My collaborator can't see the plan. Why?

Either their role doesn't have Business Plans permission, or they aren't in the Shared Access list. Add them in the edit dialog and double-check their role with your admin.

Full guide: Business Plans

What happens when I link a financial project or GTM workspace?

Linking on its own doesn't change your content — it just unlocks the Import Data button inside sections that match (for example, Financial Plan pulls from the financial project, GTM Strategy pulls from the GTM workspace). You can re-import as often as you like.

Full guide: Business Plans

Can I change a decision after I've reviewed it?

No. Reviewed decisions lock so your hindsight doesn't rewrite the past. If you really need to fix something, delete it and re-log it.

Full guide: Decision Loop

Do my team members see my decisions?

Anyone in the organization with Decision Loop read permission can view the log. Adjust access under Account Settings > Members & Roles if you want it founder-only.

Full guide: Decision Loop

Why am I being warned about high burnout risk?

Nautis cross-references your Burnout Radar score with the decision you're logging. High-stress weeks are a common driver of poor calls, especially irreversible ones — the prompt is just a nudge to slow down.

Full guide: Decision Loop

What does the "Confidence vs outcome" number really mean?

It counts the decisions you logged as High confidence that turned out Worse than expected after review. A growing number is the classic signal of overconfidence.

Full guide: Decision Loop

Can I link a decision to multiple milestones?

A decision links to one milestone at most. If a call touches several, link the highest-stakes one and mention the others in Reasoning or Key assumptions.

Full guide: Decision Loop

What if I never get round to reviewing?

Decisions stay flagged Review due until you record an outcome. The dashboard's status strip will keep reminding you — but skipped reviews simply mean fewer data points for your patterns.

Full guide: Decision Loop

Should I use Builder or edit the Strategy tab directly?

Builder is great for a first draft — it walks you through every section and uses AI to fill the gaps. The Strategy tab is best for polishing, ongoing updates, or skipping straight to a specific section. Both edit the same data.

Full guide: GTM Planner

What happens when I "Convert selected" tasks from Roadmap?

The chosen weekly actions are copied onto the Tasks board (in the Backlog column) so the team can start executing. The roadmap entries stay where they are, so you keep the planning view intact.

Full guide: GTM Planner

How does the health score work?

It blends two things: how many tasks are Done and how many metrics have recent values. Add and complete tasks, log metric snapshots regularly, and the score climbs.

Full guide: GTM Planner

Can I move a workspace to a different organization?

No. Workspaces belong to the organization where they were created. If you need the same plan elsewhere, recreate it manually.

Full guide: GTM Planner

Why can't I open a teammate's workspace?

Either you're not on its Shared Access list, or your role doesn't have GTM permission. Ask the workspace owner to add you, or ask your admin to update your role.

Full guide: GTM Planner

Can I export the strategy?

Yes. Inside the Strategy tab there's a PDF export button that renders a clean version of all six strategy sections.

Full guide: GTM Planner

Why is everything empty?

The engine only has something to say once you've completed actions with recorded results. Start by finishing a GTM experiment with a result — the empty state says exactly that: "Complete a GTM experiment with a result. When the engine finds similar past actions, it proposes a source-linked recommendation here."

Full guide: Learning Engine

Does accepting a recommendation do anything automatically?

No. Accepting just records your decision. Nothing is executed — the reject dialog says it plainly: "Nothing is executed automatically."

Full guide: Learning Engine

Where do the lessons come from?

From your own completed work: GTM experiments, Decision Loop reviews, closed investor deals, hiring outcomes, and completed Outcome Workflows. You can't write standalone lessons here — the engine's value is that every lesson traces to something that actually happened.

Full guide: Learning Engine

Why should I record whether a recommendation worked?

It closes the loop. Your "It worked" / "Didn't work" answer is stored as a fresh learning event, so future recommendations get sharper.

Full guide: Learning Engine

Is the engine learning from other companies' data?

No. Matching and recommendations are computed only from your organization's own records.

Full guide: Learning Engine

Can I trust a recommendation?

Check its Sources box — every recommendation links to the specific past events it's based on, with match scores. If the sources don't convince you, reject it.

Full guide: Learning Engine

What actually happens when the workflow runs? Does the AI do the work for me?

It sets the work up. Steps create a Task Board, tasks, document-request tasks, and metric targets; agent steps can draft content. Executing the underlying work — closing the round, writing the doc — is still yours, tracked on the Task Board.

Full guide: Outcome Workflows

Will it send anything without asking me?

No. Any step that reaches outside your workspace is approval-gated — the workflow pauses until you click Approve. Checkpoints always pause for review as well.

Full guide: Outcome Workflows

What happens if a step fails?

The step is marked Failed with the error shown under it, but the workflow keeps going — remaining steps still run. Failed steps don't count toward progress.

Full guide: Outcome Workflows

Can I change the plan while it's running?

No. Plans lock at start. If a running workflow no longer fits, click Abandon (created work is kept) and declare a fresh outcome, or approve/skip your way through the remaining steps.

Full guide: Outcome Workflows

Where do I approve waiting steps?

Either inline on the outcome's detail page (Approve / Skip buttons on the waiting step) or from the Approval Center in Chief of Staff (Approvals tab). They're the same requests.

Full guide: Outcome Workflows

What's the difference between Abandon and Delete?

Abandon stops a live workflow but keeps everything it created. Delete removes a not-yet-started outcome and its plan entirely (created Task Boards still survive).

Full guide: Outcome Workflows

Why can't I click "Approve & start"?

The plan needs at least one step. Generate a plan (or add steps via Edit plan) first.

Full guide: Outcome Workflows

Why is the Generate with AI button greyed out?

Hover the button and Nautis lists the unmet requirements. The most common ones are an incomplete startup profile (the AI needs your industry, target market, etc.) and the absence of a fully validated pitch deck attached to the startup profile.

Full guide: SWOT Analysis

Will using AI delete what I've already added?

Yes — AI generation replaces every item. Nautis warns you first and lets you cancel, but the safest path is to save a snapshot before you generate.

Full guide: SWOT Analysis

How many SWOTs can my organization have?

One. Every teammate in your organization works on the same shared SWOT. Use Snapshots to keep older versions for reference.

Full guide: SWOT Analysis

Can I share a single quadrant's items with someone outside the org?

Not directly. Use the print view to share a polished report, or copy items by hand. SWOT items live inside your organization's workspace.

Full guide: SWOT Analysis

What's the difference between SWOT and TOWS?

SWOT is the list of factors. TOWS is the strategy layer that pairs them together (for example, "use Strength X to capture Opportunity Y"). The TOWS tab is where the strategies live.

Full guide: SWOT Analysis

Why can't I change a task's type after creating it?

Outcome tasks (pass/fail) and KPI tasks (number tracking) have different data fields. Switching types after the fact would leave fields empty or invalid, so Nautis locks the type at creation time. If you need to change it, delete the task and add a new one of the right type.

Full guide: Task Boards

What's the difference between completing a task and completing a board?

Completing a task marks that single item as done. Completing a board means moving the board's overall status to Completed, usually after all its tasks are done. You can mark a board Completed even with some open tasks, but the progress bar will reflect that.

Full guide: Task Boards

How is the board's progress calculated?

Each task contributes to the total. Outcome tasks count as 100% when marked done. KPI tasks count by how close the current number is to the target. The number you see in the board sidebar is the average across all tasks.

Full guide: Task Boards

Can teammates see boards I haven't shared with them?

No. Only people on the board's Shared Access list (and admins) can open it. If a teammate can't see a board, edit the board details and add them.

Full guide: Task Boards

What happens when I delete a board?

Everything — tasks, discussion, attachments and activity — is permanently removed. Nautis always asks you to confirm before deleting. If you might need the data later, duplicate the board first.

Full guide: Task Boards

Can I archive a board instead of deleting it?

Set the status to Cancelled or Completed. The board moves out of your active view but the data is preserved, and you can filter back to it any time.

Full guide: Task Boards

Do I need to set up the cap table before I create a fundraising round?

No, but it makes life easier. The Fundraising CRM tracks who's committing capital; the Cap Table records what they actually own once you close. They work better together when both are set up.

Full guide: Cap Table

Can multiple people edit the cap table?

Yes, anyone with update permission on the Cap Table module can edit. Every change is recorded in the Transactions tab so you can see who did what and when.

Full guide: Cap Table

What if I made a mistake during setup?

Open the Settings tab to fix company-level numbers. For stakeholder mistakes, edit or delete the stakeholder in the Stakeholders tab. For wrongly-issued equity, use the Transactions tab to correct it.

Full guide: Cap Table

Does Nautis generate share certificates?

You can upload certificates and supporting documents into the Documents tab, but Nautis doesn't auto-generate legal share certificates — your lawyer or formation agent issues those.

Full guide: Cap Table

How are SAFEs and convertible notes shown?

They appear as equity instruments without share counts until they convert. The Conversions tab is where they turn into preferred or common shares using the agreed discount and cap.

Full guide: Cap Table

Does this model funding rounds and dilution?

No. The Equity Calculator is for the initial split among co-founders based on contribution. It doesn't model investor rounds, option pools, or dilution waterfalls.

Full guide: Equity Calculator

What does "foregone salary" mean?

The market salary you could be paid somewhere else but are giving up to work on this startup. Someone leaving a $200k role to take $50k contributes $150k of foregone salary per year — that's real economic skin in the game.

Full guide: Equity Calculator

Can I add more than the founders limit allows?

No. Nautis caps the number of founders per calculation. Run two calculations or merge similar contributors.

Full guide: Equity Calculator

What if a founder joins later?

Add them with a Join Date after the relevant milestone (Idea Stage, MVP, or Funding). The points system reduces their share of time-based contributions accordingly.

Full guide: Equity Calculator

Can I share the result with my lawyer?

Use Export to generate a downloadable file with the full breakdown — names, inputs, points, percentages, and the questions answered.

Full guide: Equity Calculator

Will Nautis send the file to investors automatically?

No. Sharing is manual. Either invite teammates via Shared Access or download and email the export.

Full guide: Equity Calculator

Why does an investor I expected not show up?

Most often it's a filter — particularly Investor Type or Ticket Size. Click Clear all in the filters panel and try the search again.

Full guide: Find Investors

Can I save an investor for later without adding them to a pipeline?

Adding them to a pipeline is the way Nautis tracks investors you're interested in. Create a "Watchlist" or "Long list" round if you want a holding place separate from your active fundraise.

Full guide: Find Investors

How is the match score calculated?

It scores each investor against your company profile across stage, industry, geography, and check size. Open the profile panel to see the breakdown per factor.

Full guide: Find Investors

Where do the filter options come from?

Investor types, stages, mechanisms, industries, technologies, and countries are managed centrally for the whole Nautis directory. New options appear automatically as the directory grows.

Full guide: Find Investors

Can I export the list?

Not from this page. Once investors are in a pipeline, you can manage and export from the Fundraising CRM.

Full guide: Find Investors

What's the difference between a round and a deal?

A round is the fundraise itself (for example, your Series A). A deal is one investor inside that round. One round usually has many deals.

Full guide: Fundraising CRM

Can I move a deal between rounds?

Edit the deal and change its round, or use the deal detail panel actions. The activity log keeps a record of the move.

Full guide: Fundraising CRM

Does Nautis send emails to investors automatically?

No. Nautis logs your outreach and can draft messages, but you send everything through your normal email tool. The activity tab records what happened.

Full guide: Fundraising CRM

What happens when a deal is marked won?

The check size counts towards the round's Raised total and the target-progress bar. Closed-won deals stay in their final stage and can still be opened for reference.

Full guide: Fundraising CRM

Who can see a private round?

The creator, anyone listed under Shared Access for that round, and organization admins.

Full guide: Fundraising CRM

Why did my score change when I changed the stage?

Every threshold — runway, revenue, pipeline size, documents — and the default weights depend on the stage. A pre-revenue company is fine at pre-seed and a problem at Series A.

Full guide: Investor Readiness

Does "Ready to raise" mean investors will say yes?

No. It means your fundraising fundamentals clear the bar for that stage. It is a preparedness check, not a prediction.

Full guide: Investor Readiness

I dismissed a gap by mistake.

Open Action plan, expand marked not applicable at the bottom and click Restore.

Full guide: Investor Readiness

Where do the tasks go?

To a Task Board called "Investor readiness" (created on first use). The On Task Board stat in the Action plan links to it.

Full guide: Investor Readiness

What happens after I submit an expense for approval?

It goes to the first approver in the matching rule. They can approve, reject with a reason, or push it back. You'll see the current state in the Approval Chain Status panel on the expense.

Full guide: Expenses

Can I create an expense for a teammate?

Each expense belongs to whoever creates it. Submit your own expenses through your account; managers can add on behalf of someone else only if your organization has set that up.

Full guide: Expenses

Does Nautis automatically detect duplicate receipts?

Yes — if you scan or upload a receipt that closely matches an existing expense, Nautis flags it so you can decide whether to keep both.

Full guide: Expenses

Can I export receipts along with the CSV?

The CSV export contains the expense data with receipt URLs. Use those URLs to download individual receipts; bulk receipt export depends on your plan.

Full guide: Expenses

What's the difference between Categories and Merchants?

Categories describe what you bought (travel, software, meals). Merchants describe who you paid (Uber, Slack, Joe's Coffee). Use both for the cleanest analytics.

Full guide: Expenses

Do I need accounting experience to use this?

It helps, but the templates fill in the standard line items so you can focus on numbers, not category names. Read the Notes tab examples to see what assumptions to document.

Full guide: Financial Planner

Can I change the projection period after creating it?

Yes. Use Edit Project and switch between 3-Year Plan and 5-Year Plan. Your inputs are preserved; the extra years are projected using your growth assumptions.

Full guide: Financial Planner

How is runway calculated?

Runway = current cash divided by monthly net burn (cash out minus cash in). Both numbers come from your Cash Flow tab, so keep those inputs accurate.

Full guide: Financial Planner

Can I model a fundraising round?

Yes — add the inflow as a financing line on the cash flow side and adjust equity on the balance sheet. The projection will show the runway extension and the impact on your balance.

Full guide: Financial Planner

Can I share the project with my accountant?

Add them via Shared Access when you create or edit the project. They'll see it in their list and can edit. Or use Export Excel for a one-time send.

Full guide: Financial Planner

What happens to my model if I delete a revenue item?

The P&L, balance sheet, and cash flow recalculate immediately. Nothing else is affected. If you want to keep the line item but switch it off temporarily, set its forecasted units to zero rather than deleting it.

Full guide: Financial Planner

Can I import historical numbers?

Use the import option on Revenue Items to pull from your invoices module if you've already been tracking sales in Nautis. Otherwise enter actuals manually for the first year.

Full guide: Financial Planner

Can I send the same invoice to multiple people?

Yes — when sending, add additional recipients in the CC field of the send dialog. Each one gets the same email with the PDF attached.

Full guide: Invoices

What currencies are supported?

Most major currencies. Pick the default in Settings and override per invoice when needed. Reports roll up using each invoice's currency.

Full guide: Invoices

Can a customer pay through Nautis?

The invoice email includes a tracked link with the PDF. Payment is collected outside Nautis through your bank or payment provider — you then record it manually with Record Payment so the status updates.

Full guide: Invoices

What happens when an invoice is overdue?

It stays in Sent but gets an Overdue badge and counts in the sidebar badge. Nautis doesn't dunning-email automatically — send a reminder from the invoice page when you're ready.

Full guide: Invoices

How do credit notes affect totals?

A credit note reduces the recorded amount due on the original invoice. If the original is already paid, the credit note records the refund — keeping your books in sync.

Full guide: Invoices

What if I miss a month?

Pick Other month in the check-in dialog and choose the missing month. Backfilling old months catches you up so the trend chart looks right.

Full guide: Startup Health

Can I tweak the alert thresholds?

The current alert rules (low runway, negative growth, ballooning burn) are built in. The alert strip can be dismissed for the session, but the thresholds aren't user-configurable.

Full guide: Startup Health

Will investors need a Nautis account to view my snapshot?

No. Anyone with the share link can open the public snapshot in any browser. The link respects whatever expiry and history setting you chose.

Full guide: Startup Health

What happens to the snapshot if I delete the check-in?

Deleting a check-in also deletes that month's investor snapshot. Active share links for that month stop working.

Full guide: Startup Health

Can I share multiple months at once?

Yes — when you create or send a share link, toggle Allow history so the recipient can navigate prior months from the same link.

Can I link a contact to a lead or deal?

Yes. Open the contact's detail view — you'll see Related Leads and Related Deals sections where you can link existing records.

Full guide: Contacts

What happens to a contact's folder when I delete the folder?

The contact stays — it just becomes "Unfoldered". You can re-file it any time.

Full guide: Contacts

Can I share my contacts with everyone in my organization?

Pick all the teammates under Shared Access when you create or edit a contact. Anyone you don't list won't see it unless they have an admin-level role.

Full guide: Contacts

Does Nautis deduplicate contacts when I import?

The importer skips rows that already exist (matched on email). The import summary tells you how many were imported, skipped, or errored.

Full guide: Contacts

Can I delete a contact?

Yes — open the contact's detail view and use the delete action. You'll be asked to confirm because the action can't be undone.

Full guide: Contacts

Where does scanning the business card send my photo?

The image is processed to extract text — only the structured data lands on the contact form for you to review. You can edit anything before saving.

Full guide: Contacts

Do people need a Nautis account to fill in my form?

No. The form is public. Anyone with the link can submit, and you'll see every entry on the Entries page.

Full guide: Custom Forms

Can I make a field required?

Yes. Open the field's settings and toggle Required on. The public form will block submission until that field has a value.

Full guide: Custom Forms

Can I reorder fields after I've added them?

Yes — drag and drop in the builder. You can also drag a field from one section to another.

Full guide: Custom Forms

What happens to responses if I delete a field?

Existing responses keep the old data, but the field no longer appears on the form or in the export. To be safe, export your entries before deleting fields.

Full guide: Custom Forms

Can I have more than one form?

Yes — up to your plan's monthly cap. Each form has its own public URL, theme, and entries.

Full guide: Custom Forms

My form won't publish — why?

Forms need at least one active field to publish. Add a field, then try again.

Full guide: Custom Forms

How do I let people upload files in their answer?

Add a File Upload, Image Upload, or Video Upload field. Uploads count toward your organization's storage quota.

Full guide: Custom Forms

Can I generate a QR code?

Yes. Click Share in the builder, scroll to QR Code, and click Download QR Code to get a PNG.

Full guide: Custom Forms

How is this different from the Investor CRM?

The Investor CRM is for fundraising — it tracks investors, their funds, term sheets, and outreach. This Leads CRM is for everything commercial — customers, partners, channel deals, anything where you're trying to convert someone.

Full guide: Leads & Sales CRM

Can I have more than one pipeline?

Yes, and you should. Create one for each sales process, region, or product line so the stages can be different. One pipeline can be your default.

Full guide: Leads & Sales CRM

Why can't I drag a card?

Either you don't have update permission, or the lead is locked (for example, already marked as Closed Won). Check the tooltip on the card.

Full guide: Leads & Sales CRM

Can I import existing leads from a spreadsheet?

Yes — use the import option in the pipeline actions menu. Map your columns to lead fields and Nautis creates the leads in bulk.

Full guide: Leads & Sales CRM

Who can see my pipeline?

You, anyone you added in Shared Access when creating the pipeline, and anyone with the Leads module permissions in your organization.

Full guide: Leads & Sales CRM

Does deleting a lead delete its contacts?

No. Contacts live in your Contacts module — deleting a lead just removes the link.

Full guide: Leads & Sales CRM

Can I export my pipeline?

Yes. Switch to the table view, select the rows you want, and use the export menu to download as CSV.

Full guide: Leads & Sales CRM

Does Nautis actually publish my posts to social networks?

The Social Calendar is for planning and approving content. It tracks what's going where and when, but you still publish from your own social tool or by hand (for now). The Accounts tab is metadata about your channels — it's not a connected publishing integration.

Full guide: Social Calendar

What's the difference between a plan and a campaign?

A plan is the long-running container — for example, "All marketing 2026". A campaign is a wave inside a plan with a defined goal and date range — for example, "March Webinar Promotion".

Full guide: Social Calendar

Who can approve posts?

Anyone with the Manager role on the plan. The plan creator is automatically a Manager.

Full guide: Social Calendar

Can the same post go to multiple channels?

Yes. Tick all the channels you want under Channels when drafting the post. You can keep the same copy for all of them (the Default) or customize per channel using the per-channel copy tabs.

Full guide: Social Calendar

Can I override the caption for just Instagram?

Yes. In the post editor, switch from the Default copy tab to the Instagram tab and type a custom caption. The other channels keep using the default.

Full guide: Social Calendar

What happens when I "Request changes"?

The post status flips to Changes Requested and the assigned editor is notified. They fix the post and click Submit for review again, sending it back to you.

Full guide: Social Calendar

Can I see who edited what?

Yes. The Activity tab shows a complete timestamped log for every change. Each post also has its own version history.

Full guide: Social Calendar

Can I have multiple people draft the same post?

Yes — add them all as Assignees on the post. Any of them with Editor or Manager role can edit.

Full guide: Social Calendar

My approver isn't in the dropdown — what now?

Make sure they have access to the plan with the Manager role. Open the Members tab to invite them or change their role.

Full guide: Social Calendar

Can I bulk-schedule posts from a CSV?

Not yet. Create posts one at a time inside the plan.

Full guide: Social Calendar

What does "Backlog" mean?

A post that isn't assigned to a campaign sits in the Backlog. It still goes through the same workflow — it's just not tagged with a campaign.

Full guide: Social Calendar

Can I undo deleting a plan?

No. Deleting a plan is permanent and removes every campaign, post, comment, and attachment inside it. Archive instead if you want to keep the history.

Full guide: Social Calendar

What happens if someone uses my short link after I delete it?

They'll see an error page. Don't delete a link that's actively in use.

Full guide: URL Shortener

Can I edit a slug after creating it?

No. Delete the link and create a new one with the new slug.

Full guide: URL Shortener

How long do short URLs last?

They don't expire by default. They keep working as long as the link exists in Your URLs.

Full guide: URL Shortener

Can I track who clicked my link?

The analytics dialog shows aggregate data — browser, OS, country, city, referrer, and social network. It doesn't show individual names or emails; those aren't captured by short links.

Full guide: URL Shortener

Why are "Total Clicks" and "Human Clicks" different?

"Total Clicks" includes everything — bots, crawlers, link-checkers, and humans. "Human Clicks" filters out the bots so you see real audience numbers.

Full guide: URL Shortener

Can I make a QR code without creating a short URL?

Not from this page. Create the short link first, then click QR Code to download the QR.

Full guide: URL Shortener

Will the same long URL always make the same short URL?

No. Each time you shorten, you get a new short URL (unless you pick the same custom slug — and the slug must be unique, so duplicates are blocked).

Full guide: URL Shortener

Who can see my credentials?

Only you (the owner) and the teammates you've explicitly added under Shared Access. Members of your org without that share won't see the credential at all.

Full guide: Credentials Vault

Can Nautis support staff read my passwords?

No. Secret values are encrypted before they leave your browser-side request. They're decrypted only when an authorised user opens them in the UI.

Full guide: Credentials Vault

What happens to shared credentials when a teammate leaves?

When their account is removed from your organization, they lose access automatically. You may want to rotate the underlying secret as a precaution.

Full guide: Credentials Vault

Can I export my credentials?

Not directly — exporting bulk secrets in plain text would defeat the point of an encrypted vault. Copy individual values when you need them.

Full guide: Credentials Vault

What's the difference between Client ID / Secret, API Key, and Token?

They're all secrets, but each has its own form so the right labels show up. Pick the one that matches what your service calls it; if in doubt, use Other.

Full guide: Credentials Vault

Can I recover a deleted credential?

No. Delete is permanent — that's why Nautis asks you to confirm.

Full guide: Credentials Vault

Can investors see my files without creating an account?

Yes. A share link opens in any browser. Use a private link with a passcode and an expiration date for extra protection.

Full guide: Data Rooms

Will recipients be able to download files?

Only if you turn on Allow downloads when creating the share link. Otherwise they can preview but not save.

Full guide: Data Rooms

Can I revoke access after sharing?

Yes. Open the Sharing tab inside the data room and revoke the link. The link stops working immediately.

Full guide: Data Rooms

What file types are supported?

Most common business document and media types upload fine (PDF, Office, images, video). The preview window supports many of them directly in the browser.

Full guide: Data Rooms

Can I share just one folder, not the whole room?

Yes. When creating a share link, pick specific folders or files instead of leaving the selection empty.

Full guide: Data Rooms

Do my signers need a Nautis account?

No. They receive an email with a secure link, open it in any browser, and sign there. They never have to create an account.

Full guide: DocSign

Can I send the same document to several people in parallel?

You can add as many signers as you need. They sign in the order you set in the side panel — first signer first, then the next.

Full guide: DocSign

The file won't upload. What's wrong?

Two common causes: the file isn't a PDF, or it's larger than 25MB. Re-export from your source app as PDF, and use a compressor if it's a scanned document with large images.

Full guide: DocSign

Can I change signers after I've sent it out?

If the document is still in Draft with a saved layout, click Edit Signers to update the list. Once it's been sent, you'll need to Revoke and re-send a new request.

Full guide: DocSign

Are signatures legally binding?

Yes — DocSign uses e-signature standards that are accepted in most jurisdictions, and every signing event is logged in the Audit Log PDF. Check your local legal requirements for documents that need wet ink.

Full guide: DocSign

Why is my document stuck on "Sent"?

It's waiting for one or more signers to sign. Open the document to see exactly whose turn it is, and use Sync Status to force a fresh check. If the link has expired, you'll see the Expired badge instead.

Full guide: DocSign

Can I undo a completed signature?

No. Once a document is Completed, it locks. You can re-upload a new version and send it for a fresh round if you need to amend the agreement.

Full guide: DocSign

Which email providers can I connect?

Gmail and Outlook out of the box, plus Other (IMAP) for any standard IMAP/SMTP mailbox. Yahoo, iCloud, and Zoho appear when enabled for your workspace — if a provider is missing, ask your admin.

Full guide: MailBox (unified email inbox)

Is my email password stored in Nautis?

No. You sign in on your provider's own page; Nautis stores only an encrypted access token (AES-256-GCM) and revokes it with the provider when you disconnect.

Full guide: MailBox (unified email inbox)

Can my whole team use one support@ mailbox?

Yes — connect it once, then use Manage sharing on the mailbox card to give teammates access. Thread Assign helps divide up who's handling what.

Full guide: MailBox (unified email inbox)

What happens when we run out of mailbox slots?

The connect flow stops with "Mailbox limit reached". An Owner or Admin can add subscribed slots from the quota banner's Manage slots — each extra slot is billed monthly and can be cancelled anytime.

Full guide: MailBox (unified email inbox)

Do AI replies use my Gmail/Outlook quota?

No. AI features run on your Nautis AI credits. If you run out you'll see "You're out of AI credits" — top up under Settings → Billing → AI Credits.

Full guide: MailBox (unified email inbox)

How far back does my mail sync?

New mail appears within seconds of connecting; your existing history indexes in the background over the first few minutes and keeps going deep into your archive.

Full guide: MailBox (unified email inbox)

Can I schedule an email to send later?

Yes — use the Scheduled send picker in the composer footer. Scheduled messages wait in the Scheduled folder, where you can still cancel them.

Full guide: MailBox (unified email inbox)

I disconnected a mailbox by mistake — is my email gone?

No. Your email always lives with your provider; Nautis only holds access. Reconnect the mailbox and everything is back.

Full guide: MailBox (unified email inbox)

Can I have different hours on different days?

Yes. The weekly schedule editor lets you flip any day on or off and add multiple time windows per day (great for splitting around lunch).

Full guide: Meetings

What happens if an invitee is in a different timezone?

Your booking page automatically converts times to the visitor's timezone. Bookings still respect your availability hours.

Full guide: Meetings

Can I block off time for personal events?

Connect your Google or Outlook calendar in Integrations. Anything on your external calendar blocks Nautis from offering those slots.

Full guide: Meetings

Can someone book me at the last minute?

Only if their booking time is at least the Minimum Notice you set on the event type.

Full guide: Meetings

Do invitees need a Nautis account?

No. The booking page is public; they just enter their name and email.

Full guide: Meetings

Are my notes private to me by default?

Yes. New notes are only visible to you until you share them with teammates via Shared access in note settings, or generate a public share link.

Full guide: Notes

Can multiple people edit the same note at once?

Teammates with shared access can each open and save changes. The most recent save wins, so coordinate on big edits.

Full guide: Notes

What's the difference between Draft, Published, and Archived?

Draft is your work-in-progress state. Published is the "finished" state — useful for filtering investor updates or team memos. Archived hides the note from your main list without deleting it.

Full guide: Notes

How do I get a note back after archiving it?

Change the status filter at the top of the notes list to Archived, open the note, and either set the status back to Published in the settings panel or use Restore note from the More menu.

Full guide: Notes

Can someone with a share link edit my note?

Only if you turned on Allow edit when you created that share. Otherwise the link is view-only.

Full guide: Notes

What happens to a note when I delete it?

Deleted notes are gone for good — there's no trash bin. If you're not 100% sure, archive instead.

Full guide: Notes

Do my changes save automatically?

Yes. Sheets autosaves shortly after you stop typing, and the pill next to the title confirms Saved. You can also press Ctrl/Cmd + S to save instantly.

Full guide: Sheets

Can two people edit the same sheet at once?

Not live. Both of you can have the sheet open, but you only see each other's changes after clicking Refresh data. If you both edit the same cells at the same time, the last save wins — so take turns on shared models.

Full guide: Sheets

Can I import my existing Excel files?

Yes — .xlsx, .xls, and .csv files up to 10 MB each, up to 10 at a time. You can also connect your Google account and import straight from Google Sheets.

Full guide: Sheets

Can I share a sheet with an investor who doesn't use Nautis?

Yes. Click Share and create a link — public, password-protected, or locked to a specific email. You control whether they can comment, edit, or download, and you can revoke the link at any time.

Full guide: Sheets

Does Sheets have AI features?

Not currently. Sheets is a full spreadsheet editor, but there's no AI generation or formula assistant in it yet.

Full guide: Sheets

Are there templates?

Not yet. Every sheet starts blank, or you can import an existing file to use as a starting point.

Full guide: Sheets

The editor says it couldn't load the spreadsheet engine. What's wrong?

The editor loads its engine from a content delivery network the first time it opens. Check your internet connection and reload. If you're on a corporate network, a firewall blocking CDN traffic can also cause this.

Full guide: Sheets

Why can't I create a new sheet?

Either you don't have create permission for Sheets (ask your admin), or you've hit your plan's monthly sheet-creation limit — duplicates and imports count too. See App usage limits.

Full guide: Sheets

Can my co-founder or team see my score?

No. Each member's check-ins are private to that person. The dashboard shows your data only.

Full guide: Burnout Radar

Is this a performance review?

No — it's a wellness tool. Nobody is rated against the score, and nothing on Burnout Radar shows up in HR Management, reports, or anywhere else employee-facing.

Full guide: Burnout Radar

What if I miss a week?

Nothing breaks — you just won't have a data point for that week. Take the next check-in whenever you're ready. Your streak resets, but your history stays intact.

Full guide: Burnout Radar

Why did my score go up even though I rested?

The score weighs a few signals together. A great sleep week with very high decision load and context switching can still push the score up. Look at the What's affecting your risk card to see which signal moved the needle.

Full guide: Burnout Radar

Can I delete a past check-in?

You can edit the most recent one. Older entries are kept to preserve the trend — reach out to support if you need one removed.

Full guide: Burnout Radar

Why do I see "Get started" on my dashboard?

You haven't taken your first check-in yet. Click + Weekly Check-in to start — it takes about half a minute.

Full guide: Burnout Radar

Can I export my check-in history?

Not directly today. You can scroll through the full History table on the dashboard, and the Trend chart covers the most recent eight weeks at a glance.

Full guide: Burnout Radar

Does Burnout Radar work on mobile?

Yes. The dashboard adapts to smaller screens — the + Check-in button collapses to a short label, and signal buttons stay easy to tap with a thumb.

Full guide: Burnout Radar

Can I import employees in bulk?

Not yet. Add them one at a time using Add employee. Their basic profile takes about a minute each.

Full guide: Employee Management

Can a member of my team see everyone's salary?

Only users with HR Management read permission can open the Payroll and Payouts tabs and view compensation. Adjust roles under Account Settings > Members & Roles.

Full guide: Employee Management

An employee left. Should I delete them?

Set their Exit date instead so payroll and reports stay accurate. Deleting removes the record entirely, but exited employees still count toward your employee limit.

Full guide: Employee Management

Why is the "Save & open profile" button disabled?

You're missing one or more required fields. Look at the Completion strip at the bottom of the panel — it lists exactly what's still empty.

Full guide: Employee Management

Can I record one-off bonuses?

Yes — when creating a payout, add an adjustment for that employee instead of changing their permanent compensation.

Full guide: Employee Management

Do I need to enter bank details for contractors?

The system asks for them so payouts have complete records, but you can still save the employee and add bank info later by editing.

Full guide: Employee Management

Where does my careers page live?

It's at nautis.app/careers/your-organization-slug. Click Copy Link on the jobs dashboard to grab the exact URL. You can also link directly to a job's apply page.

Full guide: Jobs & Recruitment

Can I require a cover letter or extra questions?

The default application form asks for name, email, phone, resume, and a cover letter. There aren't custom screening questions yet.

Full guide: Jobs & Recruitment

Why can't I click "Create New"?

Either you don't have permission on this organization, or your email isn't verified. Verify your email under Account Settings > Profile, then refresh.

Full guide: Jobs & Recruitment

Can I move a candidate back to an earlier stage?

Yes — drag them in either direction. If you drag them out of Offer or Hired, Nautis confirms before changing the stage.

Full guide: Jobs & Recruitment

Does archiving a job notify candidates?

No — archiving just hides the role from your careers page. Candidates who already applied stay in the pipeline. Use Reject on individual candidates if you want to close them out.

Full guide: Jobs & Recruitment

Can I post the same job to multiple organizations?

Job postings live inside one organization. If you run more than one company on Nautis, switch the Organization picker at the top before clicking Create New.

Full guide: Jobs & Recruitment

Who can see my messages in a public channel?

Anyone in your organization with chat access. Private channels are only visible to members you invited.

Full guide: Chat

Can I delete a message I sent?

Yes. Open the message's action menu and choose delete. People who already saw it may have read it before you removed it.

Full guide: Chat

Can I edit a message after sending?

Yes. Open the action menu on your own message and choose edit. Other participants see an "edited" indicator.

Full guide: Chat

How do I leave a channel?

Open the channel's options and find the leave option. You can rejoin a public channel anytime; for a private channel, a member has to invite you back.

Full guide: Chat

Will I get notified for every message?

You get notifications for direct messages, mentions, and replies to your threads. Channel messages without a mention are quieter by default — open the channel's notification settings to change this.

Pitch & practice guides

Does Nautis record my voice?

The audio is processed to transcribe your speech and generate the AI's reply. Transcripts are stored against the session so you can review them. Treat practice sessions like any other confidential work — they live inside your organization.

Full guide: AI Voice Coach

Can I use it without a pitch deck?

Yes. Skip the pitch deck step. The AI will still run the chosen mode and ask realistic questions based on the persona.

Full guide: AI Voice Coach

Why is the AI so harsh?

Some personas are intentionally skeptical. Switch persona if you want a friendlier tone — for example, pick a supportive seed-stage persona for early practice.

Full guide: AI Voice Coach

Can I share my review with a co-founder?

The review page lives inside your organization. Anyone in the org with permission to view the AI VC Coach module can open it. There isn't a public share link.

Full guide: AI Voice Coach

The mic isn't working.

Check the browser address bar for a microphone permission prompt. If it's blocked, allow it and reload. Some browsers also need you to dismiss a one-time "use this microphone" picker before audio starts flowing.

Full guide: AI Voice Coach

What's the difference between Full Pitch and Mock IC?

Full Pitch is one persona simulating a single meeting. Mock IC is longer and modeled on an investment committee, which means tougher cross-examination from multiple angles.

Full guide: AI Voice Coach

How long does the AI analysis take?

Usually one to three minutes, depending on the slide count and current load. Keep the upload dialog open until you're redirected.

Full guide: Pitch Deck Analyzer

Why does the score feel harsh?

The AI grades against what late-stage investors typically expect. Pre-revenue decks usually score lower than post-revenue ones — that's normal. Look at Recommendations for the specific gaps and fix those first.

Full guide: Pitch Deck Analyzer

Can I edit the deck inside Nautis?

No. The analyzer reads your PDF and gives feedback. You make changes in your slides tool (Keynote, Google Slides, etc.), then re-upload.

Full guide: Pitch Deck Analyzer

Will investors see the AI score?

Only if you toggle Show readiness score on the share link. By default it's off.

Full guide: Pitch Deck Analyzer

Can I track who has viewed my deck?

Yes. Open the share dialog, go to Manage, and you'll see per-link sessions, total time, average slides watched, and last viewed time.

Full guide: Pitch Deck Analyzer

What if my deck has confidential numbers?

Mark the link Private, add a strong passcode, set a short expiration, turn off Allow download, and add a Watermark with the recipient's name. Revoke the link from Manage when you're done.

Full guide: Pitch Deck Analyzer

Can I upload an existing video file instead of recording in the browser?

Yes. For any topic, use the upload option to attach an MP4. Nautis will splice it in just like a recorded clip.

Full guide: Video Pitches

Why does my video need to be compiled?

Each topic is recorded as a separate clip with its own settings. Compiling joins them, applies graphics and a CTA, and produces one playable file.

Full guide: Video Pitches

What happens if I close the browser while compiling?

Compilation runs server-side. You can leave and come back — when the status flips to Completed, the final video is ready.

Full guide: Video Pitches

Can I add multiple CTAs?

Only one CTA per video. It appears at the end. Use graphics for mid-video links or callouts.

Full guide: Video Pitches

Where do the analytics come from?

Every play of the direct link or embed counts as a view. The CTA Click count tracks people who clicked the CTA button. Feedback comes from invited reviewers leaving comments.

Full guide: Video Pitches

Can I make the video private?

The direct link is unlisted but anyone with it can play the video. Don't share the link if you want to keep it inside your organization.

Resources & learning

Resources & learning guides

Will the bookmark grab the page title automatically?

Yes. When you paste or type a URL, Nautis fetches the title and description in the background. If it doesn't, click Fetch Metadata.

Full guide: Bookmark Manager

What's the difference between pinning and favoriting?

Pinned bookmarks show up at the very top of the page in their own section, visible at a glance. Favorited bookmarks are a filter — click Favorites in the sidebar to see only those.

Full guide: Bookmark Manager

Can I share a bookmark with my whole team?

Use Shared Access in the bookmark form to pick specific teammates. They'll see the bookmark in their own list.

Full guide: Bookmark Manager

Can I import bookmarks from Chrome or Safari?

Use the Import button and pick a bookmarks file exported from your browser.

Full guide: Bookmark Manager

How do I delete a folder?

Open the Folders dialog and remove it from there. Bookmarks in the folder become unsorted; they're not deleted.

Full guide: Bookmark Manager

Can I edit a template after uploading it?

The library does not have an in-place editor. Download the template, edit it locally, then upload a new version.

Full guide: Documents & Templates

Can I delete a template I uploaded?

The main library view does not show a delete button. If you need to remove a template you uploaded by mistake, ask a workspace admin to remove it for you.

Full guide: Documents & Templates

Why can I not preview a document in the browser?

PDFs, images, and plain-text files can be previewed inside Nautis. For Word, Excel, and PowerPoint files you will need to download and open them in their native app.

Full guide: Documents & Templates

What size files can I upload?

Up to 50 MB per file. For larger files such as a full investor data set, use Data Rooms instead.

Full guide: Documents & Templates

The page says "No Documents Found" — why?

Either the active category has no templates yet, your search query did not match anything, or the library is empty for your organization. Click All Categories and clear the search to reset.

Full guide: Documents & Templates

Can I RSVP to an event inside Nautis?

No. Nautis lists events and links you out to each organizer's own registration or application page. Sign-ups, ticket purchases, and confirmations happen on their site.

Full guide: Events

Can I add an event to my calendar?

There is no one-click calendar export in the events directory yet. The simplest workaround is to copy the dates from the event details panel into your calendar app manually.

Full guide: Events

Where do these events come from?

The Nautis team curates the list. If you would like to suggest an event for the directory, contact support.

Full guide: Events

I cannot see Events in my sidebar — why?

Either your organization admin has not enabled the feature for your workspace, or your role does not have read permission. Ask an admin to give you access to the Events module.

Full guide: Events

An event shows "Applications Closed" but I think it is still open. What should I do?

Click Visit Event if it appears, or go directly to the organizer's website. The deadline date on the listing is the one the organizer published — if they have extended it, the directory may not be updated yet.

Full guide: Events

Can I add my own terms to the glossary?

The user-facing glossary is curated by the Nautis team. If you spot a term that is missing or wrong, contact support and we will review it.

Full guide: Glossary

Why are some letters greyed out in the A–Z bar?

Those letters have no terms yet — or no terms in the category you are currently filtering by. Clear the category filter to see every letter that has content.

Full guide: Glossary

The pronunciation button does nothing — what is wrong?

The button uses your browser's speech synthesis API. Some browsers and operating systems disable it by default or block it on the first click. Check your browser's sound permissions for the site and try again.

Full guide: Glossary

Can I share a link to a specific term?

The term opens in a dialog, so the URL does not change. To share a definition with a teammate, ask them to open the glossary and search for the term name.

Full guide: Glossary

Is the glossary the same for every organization?

Yes. The term list is global to Nautis. Filters and searches you apply are only on your screen and do not change what other people see.

My dashboard is empty — what happened?

Either every widget is hidden, or the modules behind your widgets are not enabled for your organization. Open the customize dialog and check what is toggled on; if the list itself is empty, ask an admin to enable the matching modules.

Full guide: Dashboard widgets

Why can I not see the same widgets as my teammate?

Widgets are filtered by your role's permissions and by the feature flags on your organization. Anyone without read access to a module will not see its widget in the picker.

Full guide: Dashboard widgets

Does refreshing one widget hit all the others?

Clicking the dashboard-level refresh button reloads every widget at once. There is no per-widget refresh button in the header — each widget revalidates itself on its own cadence.

Full guide: Dashboard widgets

Can I have a different layout per organization?

Yes. Your layout is saved per user per organization, so switching organizations gives you the layout you set up there.

Full guide: Dashboard widgets

Is the dashboard layout shared with my team?

No. Each user customizes their own dashboard. Changes you make do not affect anyone else.

Full guide: Dashboard widgets

My file uploaded but is missing from the list — why?

The list usually refreshes automatically. If it does not, click the module's refresh button or reload the page. If the file still does not appear, check whether the upload was rejected by a toast notification.

Full guide: File uploads & attachments

Can I upload an entire folder at once?

Folder uploads are supported inside Data Rooms, which preserves the folder structure. Other modules accept one file per upload.

Full guide: File uploads & attachments

What happens when I hit my storage quota?

New uploads will be blocked with an error toast until you either delete some files or your organization upgrades its storage allotment. See Storage Usage for how to check and manage usage.

Full guide: File uploads & attachments

Are my files encrypted?

Files are stored on Nautis's secure infrastructure with the same protections as the rest of your workspace data. Chat messages and certain sensitive integrations are additionally encrypted at rest.

Full guide: File uploads & attachments

How do I share a file with someone outside Nautis?

Use Data Rooms to generate a tracked, optionally passcode-protected share link. For pitch decks, use the share dialog inside the deck. Other modules do not yet expose direct external links — download the file and send it manually if needed.

Full guide: File uploads & attachments

Cmd + K does not open the palette — why?

The palette is part of the desktop shell view. If you are on a mobile layout, or in a specific full-screen flow that captures the shortcut for its own use, it may not respond. Make sure you are on the regular desktop layout and that no input field has stolen focus.

Full guide: Global search

Can I change the shortcut?

The shortcut is fixed at Cmd + K / Ctrl + K. There is no in-app keybinding editor.

Full guide: Global search

Is there a separate shortcut for the app launcher?

Yes — Cmd + A (or Ctrl + A) opens the launcher when no input field is focused. The launcher is for switching between open apps and modules; the command palette is for running specific actions.

Full guide: Global search

Why do I see fewer commands than my teammate?

The palette only shows actions you have permission to use. If a module is not enabled for your organization or your role does not have access, its commands will not appear in your list.

Full guide: Global search

Does the palette search inside notes, tasks, or files?

Not yet. It searches the action and navigation list. To search the contents of records, open the module you care about and use the search box on that page.

Full guide: Global search

Can I delete a notification permanently?

There is no manual delete. Old notifications fade out of the list over time and are removed automatically.

Full guide: Notifications panel

I marked something as read by accident — can I bring it back?

Switch the filter from Unread to All and you will see it again. You cannot revert it to unread, but the action link still works.

Full guide: Notifications panel

Why am I getting notifications I do not want?

Open Account Settings → Notifications and turn off the categories you do not need. You can keep important ones (such as mentions) on while silencing routine ones (such as billing reminders).

Full guide: Notifications panel

Why is the unread count different in the bell vs. the page?

The bell shows your unread count for the active organization, scoped to the user-room broadcast. The page shows the same number — if they ever look out of sync, refresh the page once.

Full guide: Notifications panel

Can I email myself a digest instead?

Email delivery is set per category in Account Settings → Notifications. There is no rollup digest yet — emails arrive event-by-event when the toggle is on.

Full guide: Notifications panel

Can I send the same link to multiple investors?

Yes — a single public link works for everyone you share it with. If you want per-viewer tracking, create one link per recipient using the Email invite tab.

Full guide: Sharing & public links

Can I edit a link after creating it?

The Manage tab lets you revoke a link and create a fresh one. You cannot edit the URL itself or change its access type after creation.

Full guide: Sharing & public links

What happens to viewers when I revoke a link?

The next time they refresh the page they see an "access revoked" notice. Anyone already mid-view loses access on their next interaction.

Full guide: Sharing & public links

Is the share link the same as adding someone to my organization?

No. Share links give read-only (or download-enabled) access to a single asset. They do not create a user account or grant any access to the rest of your workspace.

Full guide: Sharing & public links

Do shared analytics track personally identifying information?

Analytics track session counts, time spent, slides viewed, and completion — not the viewer's identity, unless you sent the link via the Email invite flow which ties views to the recipient address.

Full guide: Sharing & public links

Where do I revoke every link at once?

Open the Manage tab inside the record and revoke each one individually. There is no bulk revoke yet — revoking is per-link to avoid accidental shutdowns.

Full guide: Sharing & public links

How many AI credits does one message use?

It depends on the length of your message and the advisor's reply, plus how much context (your data) is included. There's no fixed "per message" cost. The picker disables sending once credits run out.

Full guide: AI Co-Pilot

What if I run out of credits?

Sending is paused until the monthly cycle resets, or your admin can purchase an add-on credit pack from billing.

Full guide: AI Co-Pilot

Which advisor should I pick?

Hover over each card to see its description and the modules it works with. Pick the one whose role title best matches your question. You can always start a new chat with a different advisor.

Full guide: AI Co-Pilot

Does the AI see my actual Nautis data?

Yes. Each advisor is connected to specific modules (shown in the tooltip), so it can reference your business plan, financials, contacts, and more when answering. It does not share your data outside your organization.

Full guide: AI Co-Pilot

Can I export a conversation?

Yes. Open the conversation menu and use the export option to save the chat.

Full guide: AI Co-Pilot

Where does the briefing get its information?

From across your workspace: task boards, leads pipeline, today's meetings, runway from Startup Health, pending agent approvals, overdue invoices, burnout check-ins, fundraising signals, meeting action items, decision reviews, and more. Sources that have no data are simply skipped.

Full guide: Chief of Staff

Can agents do things without my permission?

Not unless you explicitly allow it. Everything defaults to Ask every time and lands in the Approval Center. The sidebar says it plainly: "Nothing acts without your approval." Even actions you set to auto-run are fully audit-logged.

Full guide: Chief of Staff

What's the difference between "Do it" and approving in the Approval Center?

They're the same pipeline. "Do it" on a briefing item creates the approval request — and if you're an owner/admin, your tap is the approval, so it runs immediately. For everyone else it queues in the Approval Center.

Full guide: Chief of Staff

Why do two people see the same briefing?

The briefing is per-organization — it's the company's day, not a personal to-do list. Your done/snooze/dismiss actions update it for everyone.

Full guide: Chief of Staff

The page says "Assembling your briefing…" — how long does that take?

Usually well under a minute; the page updates itself when it's ready. If generation fails you'll get a Try again button — your data is untouched.

Full guide: Chief of Staff

What's in the weekly digest?

A Monday-morning "last week / week ahead" summary. It's archived in the History tab with a "Weekly" label, and owners/admins are notified when it's ready.

Full guide: Chief of Staff

It says "You're all caught up." Is that right?

Yes — it means nothing urgent surfaced across your company right now. New priorities, blockers, and approvals appear as they come up.

Full guide: Chief of Staff

Does Nautis see my password for these tools?

No. You authenticate on the provider's own hosted sign-in page. Nautis receives a managed access token, never your credentials, and tokens are stored encrypted and never exposed.

Full guide: Integrations

I connected Slack — why isn't the copilot using it?

Connecting is only step one. Open the tool's page and turn on Agent access (or use the Enable for agents prompt right after connecting). Agents can't use any tool that hasn't been explicitly enabled.

Full guide: Integrations

Will an agent send messages without asking me?

No. Write actions — sending, creating, deleting — always request your approval first, even on agent-enabled tools. Only read actions run without a prompt.

Full guide: Integrations

A connection shows "Expired". What do I do?

Click Reconnect on the account row and sign in again. It re-authorizes the same connection — nothing else changes.

Full guide: Integrations

Can I connect two Slack workspaces?

Yes. Use Add account on the tool's page. Agents act through whichever account is marked Primary; switch it any time with Make primary.

Full guide: Integrations

If I disconnect a tool, does anything get deleted in it?

No. Disconnecting only removes Nautis's access — "This does not delete anything in the tool itself." You can reconnect whenever you like.

Full guide: Integrations

Who can set this up?

Organization Owners and Admins. Everyone else can view the catalog and connection status but can't connect or change agent access.
